Position: Administrator, Compliance & Ethics

Employment Type: Contract (13 Months)


Compensation Details:

Administration 12 : Salaries typically range from $45,479 to $60,639 annually, based on qualifications and experiences, plus a performance-based incentive.

Location:

Export Development Canada operates in a hybrid work environment, currently requiring employees to work in the office 2 days per week. (subject to change)

This role can be performed from EDC’s headquarters in Ottawa or from one of our Community Hubs located in Montreal.

Team Overview:

The Office Administrator/Coordinator is primarily responsible for the support of the office of the Vice President. The Office Administrator/Coordinator supports the daily functions of the Vice President and her direct reports, prepared and attends meetings and records minutes, and ensures the filing of information remains relevant and up-to-date. The Office Administrator/Coordinator leverages activities and provides recommendations to the leadership team and VP, as well as liaise VP with the group’s Senior Vice President and other executives. The Office Administrator/Coordinator will have group budget management (reconciliation, maintenance and forecasting) responsibilities.

What you will be doing:

  • Provides administrative support to the VP and the leadership team including, but not limited to handling correspondence, managing and coordinating VP calendar and meeting agendas, managing workflows, routing information, preparing documents, arranging logistics, processing inquiries, administering budgets.
  • Prepare and edit correspondence, reports, and presentations for the Compliance team.
  • Follow up on the Compliance team deliverables to ensure timely completion and adherence to company’ standards.
  • Assist in the preparation and submission of compliance reports and documentation.
  • Liaise with internal and external stakeholders on compliance-related matters.
  • Manage VP’s travel scheduling and bookings.
  • Administers VP’s expenses and tracking.
  • Manages and coordinates Leadership meetings & minutes (Weekly, Monthly, Townhalls, etc.).
  • Manages group SharePoint & group related Livewire requests.
  • Solves administrative problems and initiates improvements to administrative standards, controls and processes.
  • Organize and prepare documents using a variety of applications for technology devices such as standard office software. Also responsible for gathering and summarizing data for special reports.
  • Identifies, enhances and follows specific processes and procedures to maximize the efficiencies of office work flows to which the support is being provided.

What we are looking for:

  • Possession of a high school diploma.
  • Minimum of 3 years’ experience in an administrative or clerical role.
  • Demonstrated experience supporting senior leaders in a professional environment.
  • Proven experience as an assistant or in a similar administrative role, preferably in a compliance or legal environment.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle confidential information with integrity and discretion.
  • Detail-oriented with analytical and problem-solving skills.
  • Ability to work independently and as part of a team.
  • Basic knowledge of computer applications (e.g., Word, Excel, Outlook and other related programs).

What will make you stand out:

  • Bilingual in both official languages (French and English).
  • Administrative/Executive Assistant training would be an asset.
