Raymond James Independent Financial Services is seeking a qualified Administrative Assistant - Investment and Financial Planning to work in our Mississauga office. As an Administrative Assistant – Investment and Financial Planning, you will support our financial advisors by managing administrative tasks, maintaining client relationships and helping with investment management and financial planning. You will be responsible for outstanding client service, assisting with the implementation of investment strategies and financial plans and projections.
Key Responsibilities:
1. Client Support
- Assist financial advisors in managing and maintaining client relationships.
- Serve as first point of contact for clients, providing excellent client service.
- Collaborate with internal departments and external providers to meet client needs.
- Develop and maintain strong long-term relationships with clients, effectively managing inquiries, concerns and requests in a prompt and professional manner.
- Provide documentation such as client statements and tax reporting details, as needed.
- Assist clients with registering for online access, issues related to encrypted email and access to portal.
2. Investment and Financial Planning Operations
- Enter trades for financial advisors and clients, as requested.
- Prepare and deliver investment reports, supervised by financial advisors.
- Supply research reports to financial advisors from internal sources.
- Assist with information-gathering for financial plans and projections.
- Collaborate with financial advisors to create and maintain KYP records.
3. Administrative Support
- Handle administrative tasks, such as scheduling meetings and preparing documents to support the financial advisors.
- Help to develop, maintain and send information packages for prospects, new clients and existing clients.
- Ensure that all client data and investment information is accurate, complete and up to date.
- Work with Branch Administrator to open, maintain and close accounts, administer cash management procedures.
Maintain up-to-date records in CRM, and provide pro-active information to advisors regarding upcoming events (periodic reviews, birthdays,
expired documentation.)
- Assist with developing and documenting workflows.
- Work with financial advisors to prepare for client presentations and peak seasons (such as RRSP season and tax season), including developing and maintaining client lists, sending invitations and information packages, monitoring attendance, gathering and tracking information.
- Monitor and update contact lists for newsletters and quarterly commentaries.
Qualifications
- Post-secondary education.
- Knowledge of fundamental investment concepts, practices and procedures used in the financial industry.
- Previous experience in administrative processes and procedures.
Technical Skills
- Proficiency in Microsoft 365 (Excel, Word, CRM), with willingness and ability to learn new applications.
Experience with Dataphile, Broadridge, FactSet, Croesus, Morningstar, DocuSign and Adobe is preferred.

- Excellent organizational skills and the ability to manage multiple tasks simultaneously, while ensuring accuracy and compliance.
- Attention to detail and ability to work under pressure.
- Ability to work independently and in a team environment.
- Strong written and verbal communication skills, with the ability to interact with all stakeholders in a professional manner.
Licenses and registration
- Investment Representative licensing, including the successful completion of the Canadian Securities Course and the Conduct and Practices
- Handbook, or the willingness to complete these courses in the first year of employment, is required.
Registered Representative licensing, including the completion of Wealth Management Essentials, or the willingness to complete this course within
the first year of employment, is preferred.
Career Progression
- Cross-train with Branch Administrator, with opportunity to take over the role in 2 – 3 years.
- Continue to advance investment and/or financial planning education, with the opportunity to move to Associate Financial Advisor role in 3 -5 years.
Working Conditions
- Full time, Monday to Friday, 8:30am to 4:30pm, some overtime may be required at busy seasons or to accommodate client needs.
