Job Description: TiDii Cleaning Services is seeking a highly organized, proactive, and customer-focused Administrative Assistant to join our dynamic team. This part-time role offers a unique opportunity to contribute to a thriving local business and has the potential to grow into more hours based on performance and company expansion. For the initial three months, this position will operate remotely from a home office, transitioning to our new, dedicated office space in Burlington, Ontario, thereafter.
The ideal candidate will be the backbone of our administrative operations, ensuring seamless communication and efficient record-keeping. Key Responsibilities (but not limited to):
- Client Communication:
- Professionally answer incoming calls and respond to client inquiries in a timely and courteous manner.
- Make outgoing calls to follow up with new leads, existing clients for satisfaction checks, and past clients for re-engagement.
- Address client concerns, escalate issues when necessary, and ensure a positive customer experience.
- Scheduling & Coordination:
- Manage and optimize cleaning schedules for all crews, accommodating client requests and operational efficiencies.
- Confirm appointments and communicate schedule changes effectively with both clients and cleaning teams.
- Record Keeping & Data Management:
- Maintain accurate and up-to-date client records, service details, and communication logs.
- Assist with general data entry and administrative tasks as required.
- Social Media Engagement:
- Assist with creating and posting engaging content on various social media platforms (e.g., Facebook, Instagram) to promote services, highlight team achievements, and engage with the community.
- General Administrative Support:
- Support the management team with various administrative duties to ensure smooth daily operations.
- Maintain organized filing systems for both physical and digital documents.
- Assist with scheduling appointments and managing calendars for team members.
- Proofread documents for accuracy and clarity before distribution.
- Handle customer inquiries and provide exceptional support to clients.
- Perform clerical duties such as data entry, typing, and maintaining office supplies inventory.
- Collaborate with other team members to ensure smooth office operations.
Qualifications
- Proven experience in an administrative or customer service role is preferred.
- Exceptional verbal and written communication skills.
- Strong organizational skills and meticulous attention to detail.
- Proficiency in using basic office software (e.g., Google Workspace, Canva, Google Sheets/Docs, CRM, ChatGPT)
- Excellent organizational skills and ability to multitask effectively.
- Experience in customer support is highly desirable.
- Strong typing skills with a focus on accuracy.
- Ability to work independently as well as part of a team in a fast-paced environment.
- Experience with social media platforms for business purposes is a strong asset.
- A positive attitude, professional demeanor, and a genuine desire to help others.
