Who are we looking for?
The Administrative Assistant will be responsible for supporting two functional areas within the organization, Inspections and Enforcement. The Administrative Assistant is responsible for providing administrative support for both teams including reporting, data management, and project management.
This is a role for someone who is organized and detail oriented, and able to work in the office three to five (3-5) times a week, varying and depending on the nature of activities that are underway in the office.
What will you be doing?
- Provide administrative support to the Inspections and Enforcement teams including handling correspondence and coordinating and scheduling meetings with internal and external stakeholders.
- Assist with the preparation of multiple Inspections reports, including drafting, formatting, reviewing, and coordinating with translations.
- Monitor and track progress of various inspections reports to ensure they are completed on time.
- Posting various Inspection reports to internal and external SharePoint sites.
- Coordinating, scheduling and attending internal meetings, including taking minutes.
- Assist with the preparation of multiple enforcement related reports, including drafting, formatting, reviewing, redacting and coordinating with translations.
- Assist Enforcement draft formal notification letters to firms, regulators and CPA bodies related to the imposition of enforcement actions, compliance monitoring and investigation related matters.
- Assist with data collection and data management, ensuring data is organized, tracked and retained.
- Oversee lifecycle of each Enforcement case by planning, organizing and tracking progress to completion.
- Monitoring Enforcement in-box and relay messages accordingly.
- Other administrative duties that may be assigned on a regular basis.
- 1-3 years of working experience in a busy professional office environment.
- Legal secretary or law clerk experience would be an asset.
- One year certificate program from a recognized college.
- Advanced proficiency in Microsoft Office Suite (Outlook, Word, PowerPoint, Excel).
- Understanding of basic design concepts.
- Outstanding communications skills, both verbal and written, with the ability to communicate effectively across all levels of the organization.
- Excellent team player, with a professional and customer service mindset.
- Has an understanding and is comfortable with AI, specifically Microsoft CoPilot.
- Outstanding organization, time, and project management skills.
- Ability to handle multiple demands and effectively manage conflicting priorities and deadlines.
- Strong attention to detail and accuracy.
- Self-motivated and ability to work autonomously.
- Has a continuous improvement mindset and is able to make suggestions for improvements to internal processes and practices.
