Duties and Responsibilities:
Managed by the Chair of Psychology, and supervised by the Departmental Administrator, the Undergraduate Program Administrator oversees administration related to the undergraduate student processes from recruitment through to graduation. The incumbent administers the department’s B.A. Honours, BSc. Honours, B.A., minors, concentrations, and stream in coordination with all academic and administrative units that support undergraduate students and programs. The incumbent is also responsible for the advising given to all students interested or registered in psychology programs or courses.
The Undergraduate Program Administrator ensures that courses are set up properly prior to the fall/winter and summer schedules being released to students. The incumbent works with other units on campus to ensure that prerequisites, restrictions, and reserved seating are in place before registration. They work closely with the Undergraduate Chair, answering all inquiries and maintaining a record of all internal rules and decisions pertaining to administration of undergraduate courses and programs. They supervise the work of the Undergraduate Advisor and the Undergraduate and Administrative Assistant, and assist in all their tasks as needed. The Undergraduate Program Administrator responds to academic-related questions and concerns of faculty, contract instructors and students, and when appropriate will consult the Departmental or Undergraduate Chair. In addition, they assist with administrative tasks with the Undergraduate Committee.
Qualifications:
- A thorough knowledge of program requirements and departmental and University regulations regarding undergraduate students.
- Experience with student advising, including familiarity with student audits.
- A high level of competency is required for record keeping and filing.
- The work also requires a thorough knowledge of computer use and student database systems.
- The ability to deal effectively and tactfully with faculty, students, staff and the public is a necessary requirement.
- Good knowledge of office practices and administrative skills.
- Excellent interpersonal and communication skills.
- Strong organization and time management skills.
- Sound judgment in the resolution of day-to-day problems, with the ability to alert to potential problems and escalate them to the appropriate person.
- Demonstrated ability to adapt to changing environments.
- Accuracy and attention to detail is critical.
Education and Experience:
- University degree.
- Minimum of four years of university administrative experience in an academic student environment.
- Supervisory experience an asset.
