JOB DESCRIPTION: TICKETING MANAGER
Reports to: Festival and Marketing Manager
Job Type: Contract, part-time, seasonal
● ~10-20 hours/week from October-March (peak)
● <10 hours/week April-June (Summer Fest)
● <10 hours/week July-August (off-peak, planning)
Candidates MUST have a valid work permit for Canada.
Compensation: Starting at $30 per hour, depending on experience
The role, responsibilities, performance expectations, and support of the Ticketing Manager are as follows:
Role
The role of our Ticketing Manager is to manage, maintain and improve the VIMFF online ticketing system. The Manager will also ensure consistent and accurate communication of up-to-date ticketing information in the lead up and during the Festival/s, as well as provide post-Festival ticketing reports as needed. The Ticketing Manager is instrumental in achieving ticket revenue targets.
Responsibilities
Specifically, the VIMFF Ticketing Manager is responsible for:
Managing VIMFF Ticketing Process
- Set up ticketing through WooCommerce and work closely with the web developer to ensure proper functioning
- Set up comp ticket request system (request form, excel request form, hub); Work with Festival Director and Festival Coordinator to ensure communications regarding comp tickets are sent out in a timely manner
- Create and control the comp ticket policy
- Set up ticket reporting system (hub and front-end)
- Set up discount codes; Liaise with Festival Director, Programming Director and Partnership Manager regarding appropriate creation of discount codes; Work with Festival & Marketing Manager to ensure communications regarding discount codes are sent out in a timely manner
- Test all of the above
During ticket sales
- Monitor and maintain comp ticket requests, allocation between online sales and comp tickets
- Prepare and distribute a Festival weekly (daily closer to Festival) ticket sales report to relevant staff
- Collaborate with the Customer Service Coordinator to provide support and guidance on complex ticketing inquiries from attendees when needed; process ticketing changes as required and according to established policies.
- Facilitate bulk bookings from partners
During Festival
- Make sure reminder emails are sent to comp ticket holders the day before the show
- Make sure manifests (comp tickets, online sales) are sent to venue managers 3 hrs before shows
- Incorporate door sales and attendance into ticketing report
- Prepare and distribute a Festival daily ticket sales report to relevant staff
- Co-ordinate the release of, or addition of, complimentary tickets as needed
After Festival
- Ensure reporting is finalized
- Report key statistics to Festival Director and staff
- Make recommendations for improvement
- Provide relevant data to Partnership Manager for the Partnership Report
General duties
- Improve ticketing management and reporting system as needed
- Develop and maintain ticketing policies, procedures and reports
- Support the Marketing Manager to maximize VIMFF ticket revenue
- Identify trends and gaps in ticket prices and sales to assist with the development of Festival
- Work closely with the Festival Manager
- Attending Staff Meetings
- Report on ticketing updates at team meetings, feeding into the overall festival planning process
- Attend post-festival debrief session, providing constructive feedback and suggestions for improvement
- Attend committee and strategy meetings as needed
