Job Title: Third Party Reproduction Clinical Assistant
Reports To: Third Party Nursing Manager
Job Purpose
To ensure operating efficiency of the assigned Third Party nursing team(s) and support the work of management and other staff. When patient facing ensure good customer service and provide assistance as able.
Duties and Responsibilities Include
- Follow up on offsite testing results as requested by the nursing team.
- Schedule in-house appointments through the EMR, as directed by the nursing team.
- Prepare requisitions based on instructions from the nursing team or physician.
- Distribute requisitions and necessary paperwork to other departments as needed.
- Assist in locating patient charts upon request by the nursing team or physician.
- Send consent forms through the EMR as indicated by the nursing team or physician.
- Collect and compile data as requested for entry into Salesforce, supporting tracking and STATs preparation.
- Review STAT packages with the Medical Director for final approval.
- Provide updates regarding cycle outcomes with external partners as authorized by the Medical Director.
- Manage the filing and e-filing of patient documents into physical charts and the EMR.
- Generate invoices for Comprehensive Carrier Screening and send them to patients.
- Prepare FedEx shipping labels and update address database for future shipments.
- Create chart folders for newly matched patients.
- Add intended parent(s) to Salesforce upon internal transfer from cycle monitoring to the intake team.
- Participate in organizational committees as assigned.

Qualifications
- Post-secondary education in administration, business or office management is an asset.
- Proficiency in MS Office: Word, Excel, and Outlook.
- Proficiency in Salesforce.
- Ability to work well under pressure, maintaining professionalism in difficult situations.
Working Conditions
- Monday to Friday, weekends and Holidays as scheduled.
Physical Requirements
- Must be able to sit for long periods of time at a computer workstation.
