We are looking for an energetic, organized, detail-oriented, and dedicated Service Dispatcher to join our team and keep operations running smoothly.
The Service Dispatcher plays an important role in connecting our customers with our skilled HVAC technicians.
You will be the central hub of communication—scheduling and dispatching service calls, coordinating daily routes, and ensuring that every customer interaction reflects our commitment to excellence. This position requires strong communication skills, attention to detail, and the ability to thrive in a fast-paced environment.
Key Responsibilities
- Receive incoming service requests via phone.
- Schedule and dispatch HVAC technicians for service, maintenance, and installation appointments.
- Coordinate daily job schedules to maximize efficiency and minimize travel time.
- Communicate job details, customer concerns, and special instructions to technicians.
- Maintain accurate records in the service management system, including work orders, parts requests, and technician notes.
- As required, provide timely updates to customers on appointment status, technician arrival times, and service progress.
- Handle customer inquiries and resolve scheduling-related concerns in a professional and courteous manner.
- Support administrative functions such as invoicing, electronic filing, and data entry as needed.
Qualifications
- Proven experience in dispatching, scheduling, or administrative coordination (HVAC or trades industry preferred).
- Strong organizational skills.
- Excellent verbal and written communication abilities.
- Customer-focused attitude with problem-solving skills.
- Proficiency with Google based and Microsoft-based software.
- Strong typing skills with attention to detail for accurate data entry.
- Excellent analysis skills to assess operational efficiency and implement improvements.
- Ability to handle multiple tasks simultaneously while maintaining a high level of organization.
- Familiarity with the Kawartha Lakes area for efficient route planning is preferred
Job Types: Full-time, Permanent
Pay: $22.00-$26.00 per hour
Expected hours: 40 per week
