Resident Manager, The Oak, Moncton N.B.
Full Time Resident Manager
Thrive Properties is seeking a customer focused and detail-oriented live-in Resident Manager to run the day-to-day operations of a 101-unit apartment building located at 45 Twin Oaks Drive, Moncton, NB. A background in building management, maintenance and/or carpentry considered an asset. Daily workloads will be intermittent depending on maintenance requests, resident moves, lease renewal dates and other factors. The Resident Manager will be required to promptly respond to in-person, phone and electronic resident requests as needed. Applicants must have the ability to use basic software tools, email and text messaging as well as the ability to take good quality photos/videos with an iPhone to document building maintenance and management issues. Previous experience with Buildium building management software considered an asset.
As the face of the Thrive Properties’ brand, the live-in Resident Manager is a critically important member of our property management team. The successful candidate must always comport themselves in a professional, welcoming and friendly manner to ensure our brand impression is consistent with all residents.
This is a full-time equivalent and salaried position. The successful applicant will be required to live in one of the building suites under a standard lease agreement.
Job responsibilities generally involve:
Cleaning and Maintenance
- Regular and consistent cleaning of hallways, stair wells, lobbies, gyms, common rooms and public washrooms, including but not limited to:
- Vacuuming, moping, dusting, glass and surface cleaning
- Ensuring high-traffic common areas are orderly and well maintained at all times, including but not limited to:
- Lobbies, mail/parcel rooms, garbage rooms, public/bicycle storage rooms, gyms and fitness rooms
- Regular inspections of exterior common areas and property grounds to ensure trash is collected and building facilities are presentable at all times
- Performing minor maintenance and repairs as needed, preparing and coordinating work orders with Thrive management and 3 party contractors for larger maintenance and repairs
- Scheduling and overseeing all 3 party cleaning/maintenance contracts, coordinating with tenants where required, including but not limited to:
- Line painting and sweeping of parking facilities, power washing of patios and building envelope, roof and gutter maintenance, seasonal mat changes, in-suite air filter replacement and heat pump cleaning
Winter Duties
Thrive uses professional 3 party snow removal contractors, but to ensure resident safety throughout the winter assistance may be necessary in:
- Coordinating parking lot snow removal between tenants and 3 party contractors
- Monitoring resident decks and patios for unsafe ice and snow collection
- Ensuring all entrances and pedestrian areas are shovelled and kept salted promptly after storms for resident safety
- Assisting with snow removal as needed between visits from snow removal contractors
Leasing and Resident Relations
- Maintaining pleasant, prompt, and professional resident communications in all electronic, phone and/or in-person interactions
- Assisting with initial lease-up and lease renewals on an ongoing basis, scheduling and conducting showings with new applicants and ensuring current residents are given appropriate notice when applicable
- Ensuring building policies are followed by all tenants, working with Thrive management to promptly address all building policy violations and properly documenting all formal violations in Buildium
- Conducting orientations with new residents as well as move-in/move-out inspections
- Organizing and overseeing community room scheduling
Administrative Tasks
- Acting as first point of contact on all administrative enquiries from Thrive management, ensuring financial and resident data is promptly and accurately posted to Buildium on an ongoing basis, including but not limited to:
- Lease information, payment and returns of damage deposits, vendor invoices, changes to residents’ financial information, storage/parking changes, and one-off/penalty charges
- Monitoring and tracking inventory of all company-owned chattels in resident’s possession in Buildium
- Staying up to date with changes to all relevant residential tenancy legislation and health and safety regulations
- Working with Thrive management to create and periodically update a building maintenance handbook
- Other sundry duties as assigned
Position Responsibility List
Property Appearance
Interior Common Area Cleaning
- Vacuum hallways (L1-L6 2-3x per week)
- Vacuum and mop stairwell and stairway landings (2x per week)
- Vacuum and mop L1 lobby and vestibule (3x per week, winter conditions may require more frequency)
- Clean door handles and glass of common areas (3x per week)
- Gym and Community Room: Vacuum and mop (3x per week), wipe down equipment, clean bathrooms, clean windows, ensure all equipment appliances and electronics are off at end of day
- Ensure mail and parcel rooms are clean, orderly and well maintained (daily)
- Ensure the garbage room is maintained in a clean and orderly state
- Dust hallway unit lighting and plexiglass unit numbers (semi-monthly)
- Clean stairwell handrails, and dust all surfaces (1x per week)
Exterior Common Area Cleaning
- Sweep entries and exterior pedestrian areas (2x per week)
- Conduct inspections of the property grounds to ensure cleanliness (daily)
- Ensure trash is collected and parking lot is presentable (daily)
- Ensure tenants comply with rules & waste collection in designated pet areas (daily)
- Sweep and maintain underground garage entrances (2x per week)
- Sweep and maintain the basement elevator lobby (3x per week)
Winter Duties (we use professional snow and salting companies, but assistance may be necessary to ensure resident safety).
- Assist with shovelling and salting exterior pedestrian walkways (as needed between visits from the snow removal company)
- Ensure all entrances are shovelled and salted promptly after storms for fire safety
- Ensure all pedestrian areas are kept salted
- Coordinate parking lot snow removal with tenants and snow removal contractor
- Monitor resident decks and patios for unsafe ice and snow collection
Resident Relations
- Maintain pleasant, cordial and professional interpersonal relationship with all residents
- Be available by phone, email and in person to address tenant requests as needed
- Perform minor maintenance and repairs as needed
- Ex: light bulb replacement, minor plumbing repairs, cosmetic repairs, paint touch ups, appliance malfunctions, HVAC diagnostics and repair, etc.
- Submit work orders to Thrive management and organise third party maintenance providers for large maintenance issues and repairs
- Ensure building policies are followed by all residents
- Work with Thrive management to promptly address all building policy violations
- Properly document all formal violations in Buildium
- Organise and oversee community room scheduling
- Monitor security and alarm systems as needed
- Work with Thrive management on marketing and communications
- Resident updates, newsletters, marketing vacancies, etc
Rent Collection and Leasing
- Monitor use of surface and underground parking garage
- Ensure assigned spaces are being used by the correct residents
- Ensure non-residents are not using the building parking lots
- Promptly document and communicate all resident parking violations in Buildium
- Show vacant units to new applicants
- Scheduling showings with existing tenants, ensuring current tenants are given appropriate notice
- Work with Thrive management to screen prospective tenants
- Conduct move-in inspections with new residents
- Conduct building and suite orientations with new residents
- Conduct resident move-out inspections
- Promptly file and notify management of any damages, conduct exit interviews and ensure all paperwork is accurate and timely filed along with photographs
- Monitor and manage storage locker and parking leasing
- Work with Thrive management on rent collection
- Ensure all financial data is posted to Buildium on an ongoing basis to ensure monthly transactions are accurate at all times (one-off tenant charges, vendor invoices, changes to resident parking, storage, addition of pets, etc)
Administrative Tasks
- Assist management with all third party service contracts, tenders and renewals
- Including: pest control, lawn care, gardening, snow removal, mat service, elevator maintenance, fire alarm systems and inspections, security systems and inspections, entrance systems (garage and fobs), lot repair (asphalt), etc.
- Schedule and oversee all annual deep-cleaning requirements including:
- Parking lot sweeping (in spring) - organising with tenants to move cars
- Underground garage cleaning (in spring) - organising with tenants to move cars
- Parking lot & underground garage line painting
- Annual exterior cleaning - siding, decks, and windows (organise with tenants to clear decks)
- Summer/Winter mat changes
- In-suite annual cleaning: heat pump filters, air exchange filters, dryer lint catch, etc
- Act as first point of contact on all administrative and accounting enquiries from Thrive Management
- Monitor all company-owned chattels in resident’s possession in Buildium
- Track ID numbers of all physical keys, key cards, in-suite appliances, heat pump remotes, garage door remotes, etc
- Stay up to date with changes to all relevant residential tenancy legislation and health and safety regulations
- Work with Thrive management to create and periodically update a building maintenance handbook
- Other sundry duties as assigned
Job Type: Full-time
Pay: $60,000.00-$65,000.00 per year
