Main duties and responsibilities:
- Greet and welcome all visitors, clients, vendors, and staff in a professional and friendly manner.
- Answer, screen, and forward incoming phone calls.
- Respond to general inquiries via email or in person.
- Provide accurate information regarding Weddingstar’s products, services, or departments.
- Receive and distribute incoming mail, packages, and courier deliveries.
- Learn and operate multiple specialized software systems to manage order and client information and data entry.
- Organize and maintain front office files and records.
- Assist with data entry tasks.
- Coordinate with the design or production team regarding customer orders.
- Process and check status of customer orders.
- Complete product returns
- Keep the front office, lobby, and meeting spaces tidy and presentable.
- Manage office supplies, stationery, and lunchroom items; reorder as needed.
- Maintain visitor logs and issue badges or access as required.
- Handle sensitive information (employee or client-related) with discretion.
- Complete shredding and recycling duties.
- Provide additional administrative support to the Customer Service Manager.
- Any other tasks asked of you within reason.
Skills and experience:
- High school diploma
- 1 – 2 years experience in a reception position considered an asset.
- Strong technological aptitude with the ability to learn and navigate specialized computer programs.
- Ability to adapt to a fast paced work environment, where daily tasks may change frequently given product shipment deadlines.
- Critical thinking and organizational skills.
- Ability to communicate clearly and effectively in written format through email and live chat.
