Property Manager/Office Administrator

MDC Realty Advisors is seeking an experienced and detail-oriented Property Manager to join our boutique commercial property management office in Vancouver. Our Vancouver office manages a unique portfolio of retail, office and vacant land holdings located in BC. The successful candidate will be responsible for maintaining the operational and financial performance of the properties, developing positive tenant relationships, and ensuring compliance with all applicable regulations and lease agreements.
Responsibilities include:
- Act as the primary point-of-contact for the tenants in all matters; the ideal candidate will also act as liaison between the tenants and ownership.
- Foster positive tenant contact and enhance tenant/landlord relationships by ensuring communication of matters is consistent, ongoing, and on a regular basis, all in a professional and courteous manner.
- Ensure tenants are aware of and understand their obligations under their lease.
- Ensure that all team members are aware of any tenant activities including tenancy changes, disputes, concerns, repairs, etc., and that any such communications between the Tenant and Property Manager are remedied in a timely manner.
- Responsible for all matters relating to the physical aspects of the property, tenant requirements, operating costs, contract negotiation, administration, and project supervision relating to operations. This requires a high level of organization and the ability to prioritize workload.
- Assist and coordinate services as required for tenant improvements.
- Maintain and upkeep properties by managing trades and service providers (seasonal or otherwise).
- A working knowledge of main building systems is an asset.
- Weekly (or more) site visits are required, ensuring properties are managed to a standard that meets or exceeds what is required.
- Responsible for organizing contractors for the care and maintenance of two private executive homes.
- Planning, budgeting and reporting of the properties providing a complete review of all activities related to the property. This includes but is not limited to the following:
- Prepare monthly, quarterly and budget reports which will include variance analysis, financial, accounts receivables and operational summaries, including major repairs and renovations.
- Reports must be completed within the specified timelines.
- Yardi experience would be beneficial.
- Approve and accurately code supplier and contractor invoices.
- Verify all tenant invoices produced by Accounting Department are accurate and distribute to tenants accordingly.
- Ensure all tenant invoices and arrears are collected promptly.
- Provide clients with detailed and accurate reports and updates on property performance, including occupancy, revenue, expenditures, and maintenance updates.
- Build and maintain long-term client relationships, ensuring their needs are met and addressing any concerns or challenges they may face.
As this is a small office environment, there will be some office administration aspects to the position
- Open incoming mail in a timely fashion, cheques are to be prioritized especially at the beginning of the month
- Send couriers
- Order office supplies
- Maintain office hours 8am-12pm and 1pm-4:30pm, arrange coverage if hours are interrupted
- Other miscellaneous duties as required
Requirements:
- 3 or 4 years experience in the commercial property management field;
- Proficiency in the use of Microsoft office tools such as MS-Word, MS-Outlook, MS-Excel, and MS-PowerPoint;
- Proficiency in the use of Yardi property management software is preferred.
- Self starter with ability to work independently
- Strong verbal and written communication skills geared towards customer relations;
- Energetic with a positive attitude;
- Property Management License from BCFSA is required.
- Vehicle an asset (mileage will be reimbursed)
Job Type: Full-time
Pay: $70,000.00-$90,000.00 per year
