General Description:
The role of the Project Management & Operations Coordinator is a dynamic position well suited to an individual who is highly organized, good at managing multiple tasks and deadlines, and has experience in the world of real estate development, operations and construction project coordination. The candidate may be working independently or providing support to a team of professionals to support the Operations Department and improve workflow. MIP is has over 100 different Tenants that require ongoing updates and improvement to better workflow. We are developing over 50 acres of brownfield land into a world premiere innovation district over the next 10 years and will require a candidate with the skillset and drive to support the Operations team and develop systems to streamline this development in the most efficient way.
Summary of Essential Job Functions:
Reporting to the Director, Park Operations, the Project Coordinator will be responsible for the administrative work related to the Tenant and other construction projects as well as operational tasks taking place at McMaster Innovation Park through the Operations Department. This role is designed to improve workflow, reporting, and ultimately support MIP’s Tenants, Departmental needs and Master Plan Development.
Representative Duties & Responsibilities:
The Project Coordinator is responsible for providing overall coordination support to the Operations Department. Key duties include:
- Assisting the preparation and issuing of request for proposals, Tender Packages and Request for Quotations based on specifications and drawings developed by external consultants, engineers and managers.
- Supporting the field staff in construction administration, including attending and recording site meeting minutes and action items, leading meetings if required, assisting with reporting, and communicating with stakeholders as required.
- Liaising with clients, approval agencies, contractors such that client and departmental service and relationships are of primary importance.
- Preparing contracts and purchase orders for construction, professional services, operational contracts and equipment purchases.
- Working closely with the Operations Financial Coordinator to ensure that projects are properly managed through the accounting system.
- Assist the Manager(s) in providing monthly PSR (Performance Status Reports) regarding cost forecast, schedule and cash flows.
- Assist Manager(s) in monitoring the status of project(s) and identifying efforts to more effectively manage the project(s).
- Assist Manager(s) in monthly progress application process.
- Assist in all facets of project close-out and contract termination, including archiving of documents, maintenance and warranty manuals, deficiencies, warranty work and coordinating the return of “as built” drawings from sub-trades and hand over of the completed project to the operations and property management group.
- Conduct site inspections and visits, either as part of the inspection team or as independent visual technician.
- Perform additional assignments as assigned.
EDUCATION AND SKILL SET:
- Education to include a technical college diploma or equivalent combination of technical training and/or related experience
- Minimum 5 years of project coordination/administration experience
- The ability to review and understand project work scope, execution strategies, construction activities
- Effective interpersonal skills, with a strong emphasis on communication skills (verbal / written) Strong organizational, multi-tasking and documentation skills
- Superior attention to detail and high accuracy level is required
- Excellent Microsoft Office; Word, Excel skills and Microsoft Outlook as well as Microsoft Project
