The Administrative & Project Coordinator works closely with the Manager, Technical services to coordinate and facilitate documentation and communications between internal and external stakeholders throughout the company. The Project & Administrative Coordinator is a valuable resource to the entire executive team, and an important point of contact for project managers, project team members, clients, vendors, and contractors.
Key Responsibilities
- Provide daily administrative support to the Manager, Technical Services
- Assist in the development, formatting and maintenance of templates and project documentation, including proposals, technical documents, staff CVs, meeting minutes, reports, and other relevant files.
- Ensure all documentation is professional and reflects company branding standards, maintaining strict adherence confidentiality of company and client information.
- Manage the tracking of project details and information in company information systems.
- Help to maintain document storage systems in good order, including SharePoint, servers and other systems as required
- Assist the finance and payroll teams as required with information requests and special global projects
- Receive and route general inquiries as appropriate to be addressed
- Provide general administrative & coordination support to the Manager, Technical Services, including scheduling meetings, taking meeting notes, organizing travel, and other administrative tasks, as required.
- Assist with travel arrangements as required
- Assist and support the office manager / office administrative staff as required
Required Skills, Knowledge, and Abilities
- Expert business documentation development and formatting skills with advanced knowledge of document editing in Microsoft Word, PowerPoint, and Excel.
- Strong English language writing, editing, and proofreading skills, including business writing.
- Minimum 3 years experience working with project and/or leadership teams in a similar capacity.
- Highly organized and detail oriented, with strong time management skills and an ability to balance multiple tasks and effectively prioritize assignments.
- Self-starter with strong ability to work independently with minimal supervision.
- Proficient with Microsoft Office tools, specifically SharePoint, OneDrive, Outlook, Teams, and Microsoft Office (Word, Excel, PowerPoint, etc.)
- Proficiency in project management related processes and software.
- Strong aptitude and interest for learning new technologies.
- Knowledge in formal documentation formatting, filing, and tracking techniques.
- Ability to maintain confidential and sensitive information with diplomacy.
- Excellent interpersonal, communication, and problem-solving skills.
