Summary
We are looking for a motivated and detail-oriented Project Administrator to join our team. Working with the Sr. Project Manager and Controller, you will be responsible for maintaining all project information, documentation, accounts receivable and payable on assigned jobs and working with various groups to ensure information is properly communicated with relevant parties.

Responsibilities
- Prepare, send, and file invoices for payment, apply payments and help with collection of past due accounts.
- Maintain information entered into HCSS, Project Management system, including all hours worked, equipment used, receipts, aggregate tickets, fuel, etc. for accurate job costing.
- Manage and reconcile company credit cards.
- Create and maintain various reports, including weekly aging reports, timecard reports, job costing reports, daily job activity report.
- Enter project information into systems such as PO’s, cost codes, budgets, job set up, etc.
- Work with various teams, such as Project Management, Superintendents, Foreman, Safety, Accounting, etc., to ensure all relevant information is communicated to the proper groups.
- Maintain a good standing relationship with clients and 3rd parties.
- Maintain organized documentation and filing.
- Other duties as assigned.
Requirements
- 3-5 years of experience in an accounts receivable role or equivalent
- Self-motivated and able to work with little to no supervision
- Understanding of construction accounting is an asset, including the holdback process
- Excellent organization, time management, and attention to detail are required
- Proficiency in QuickBooks and Microsoft Applications (Excel, Word, Outlook)
- Ability to handle multiple tasks to meet deadlines
- Ability to work independently, following detailed procedures and tasks
- Excellent interpersonal skills
- Strong customer service skills when dealing with customer accounts
- Handle sensitive and confidential information in a professional manner
