Medical Receptionist (Permanent Part-Time)

Tiny Oaks Pediatrics is recruiting for a caring and organized Medical Receptionist to join our team! The Medical Receptionist reports directly to Dr. Pfeiffer and Dr. Dhekney, this role is a great opportunity for someone who is passionate about healthcare, enjoys working with children and families, and thrives in a supportive clinical environment.
Position Details:
- Schedule: Flexible availability to work weekday mornings and afternoons with mandatory availability on Fridays, up to 15 hours per week.
- Type: Permanent Part-Time, hourly contract
- Hourly Rate: $18.00–$21.00 (based on qualifications and experience)

What You’ll Do:
- Answer phone calls and provide friendly, professional assistance
- Schedule and confirm medical appointments
- Relay messages between patients and medical staff accurately and promptly
- Prepare, enter, and format electronic medical reports and correspondence
- Keep the office neat and organized, ensuring exam rooms are cleaned and prepared for each patient
- Assist and screen patients with forms, documents, and case histories
- Create, update, and securely maintain confidential medical records
- Support office operations by managing filing systems and document tracking
- Order office and medical supplies, and monitor inventory supply
- Process lab requisitions and coordinate lab material pickups
- Provide guidance and training to staff on office procedures and software
What You’ll Bring:
- High school diploma (post-secondary education in medical office administration or a related field is an asset)
- Previous experience in a medical office or administrative role preferred
- Familiarity with Electronic Medical Records (EMR) systems (Telus PSS EMR experience an asset)
- Strong organizational and time management skills
- Excellent communication and interpersonal skills, with a warm and professional manner when working with children and families
- Ability to handle confidential information with discretion and professionalism
- Comfort working in a fast-paced environment and managing multiple priorities
- Basic computer skills (Microsoft Office, email, electronic scheduling)
- Ability to work independently as well as part of a small team
- Reliability and flexibility, with availability for the scheduled part-time hours
