Position Summary
Are you a natural leader who thrives in a fast-paced, client-centered environment? We're looking for an experienced and highly organized Lead Clinic Administrator to manage day-to-day clinic operations, support a team of administrative staff, and ensure an exceptional client experience.
Key Responsibilities
Clinic Operations & Team Leadership
- Collaborate with the Clinic Director to align operations with clinic goals
- Lead, support, and coach administrative staff to ensure efficient workflows and high performance
- Foster a positive, professional clinic environment
Scheduling & Client Services
- Manage and coordinate schedules for 6+ practitioners
- Assist clients with completing forms and documentation
- Deliver exceptional customer service in person and over the phone
Billing & Financial Oversight
- Oversee insurance billing, receivables, and bank deposits
- Manage third-party billing, collections, and monthly reconciliations
- Generate custom reports to support decision-making
Inventory & Administration
- Maintain clinic inventory and order supplies as needed
- Ensure accurate data entry and compliance with privacy policies
- Monitor clinic performance metrics and identify areas for improvement
HR & Collaboration
- Participate in hiring, training, performance reviews, and admin development
- Collaborate with the Regional Trainer and other Clinic Leads to share best practices
Qualifications
- Proven experience in office or clinic administration
- Strong leadership, organizational, and multitasking abilities
- Excellent communication and interpersonal skills
- Tech-savvy with proficiency in Microsoft Office and EMR systems
- Detail-oriented and process-driven
- Adaptable in an evolving clinical environment
- Experience in a physiotherapy or healthcare setting is an asset
