We are seeking a highly organized Human Resources and Marketing Support Administrator (the "Support Administrator") to work directly with our Management Team. The ideal candidate will be responsible for providing comprehensive Human Resources and Marketing support to ensure the smooth operation of our law firm. The role is a pivotal support position, as the Support Administrator would be a key liaison among staff members and Management and is required to maintain confidentiality. You will work closely with Management to ensure smooth employee relations, and will further assist with a variety of administrative and coordination tasks.
Human Resources Responsibilities
- Provide assistance and oversight with recruitment, training and onboarding (post job ads, screen candidates, schedule interviews, and assist with hiring decisions and assist in improving and implementing standard onboarding and offboarding processes.
- Maintain and update employee records (contracts, benefits, performance reviews, and vacation tracking)
- Ensure data accuracy by reviewing and maintaining employee records and information
- Address employee relations concerns and support a positive and engaging workplace culture
- Provide guidance on HR-related matters, including employee relations and investigation support, best practices, operating procedures, policy, employment standards, etc.
- Maintain and update HR policies and procedures
- Contribute to strategic HR planning and organizational development
- Provide general administrative support for Management
- Support Management with budget tracking, expense management, and financial documentation
- Respond to queries and requests from employees and external parties
- Support the effective utilization and maintenance of HR systems and databases
Marketing Responsibilities
- Stay updated on industry trends and emerging technologies to continuously improve marketing efforts
-Support Management and Practice Group Leads by developing and executing marketing campaigns across multiple channels including digital, social media, email and in-person events
- Support the planning and execution of events
- Brainstorming and concepting fresh ideas for advertising and marketing
- Assist in updating corporate websites, including adding and removing content and other relevant information to ensure accuracy and consistency
- Coordinate with external vendors, partners, and suppliers to support marketing activities
- Handle administrative tasks related to marketing, including maintaining marketing calendars, and organizing assets
Requirements
- Degree in Administration, Human Resources, Business or related fields preferred
- 2+ years’ experience in an administrative/HR role required, marketing experience is an asset
- Ability to work collaboratively across departments while managing multiple projects simultaneously
- Strong interpersonal and communication skills with the ability to work with employees at all levels
- Must be a Team-player with the ability to work independently, comfortable with collaboration and building effective relationships to achieve business goals
- Ability to maintain confidentiality and navigate sensitive information respectfully
- Proficient in Microsoft Office Suite (Excel, Word, Outlook)
- Ability to work independently, set priorities, manage multiple tasks and projects and meet deadlines
Job Type: Full-time
Pay: $42,000.00-$70,000.00 per year
