Job Summary:
Reporting to the Human Resources and Administrative Services Manager, the HR & Administrative Services Coordinator provides essential support for all HR-related activities and administrative operations at Calgary Airport. The ideal candidate will serve as a key liaison between the local operations and head office, ensuring timely communication, efficient processes, and a positive employee experience.
Key Responsibilities:
Human Resources Duties:
- Assist in the full recruitment cycle: posting jobs, conducting interviews, collecting hiring documents, preparing employment contracts, performing background checks, creating employee profiles, and guiding new hires through the airport security clearance process (RAIC card);
- Support the onboarding and integration of new employees (documentation, coordination with managers, training follow-up);
- Maintain and update employee files (address/status changes, leaves, disability, WBC Alberta claims, etc.) in coordination with head office;
- Manage and track HR matters such as disciplinary actions, vacation/leave requests, and general employee relations;
- Process and verify bi-weekly payroll data entry accurately and in a timely manner;
- Contribute to the development of HR or administrative projects, tools, and internal communications.
Administrative Responsibilities:
- Prepare, track, and submit monthly invoices for various service contracts;
- Manage uniform inventory and place orders as needed;
- Draft and post internal employee communications;
- Assist in the creation and management of employee schedules in collaboration with supervisors;
- Create purchase orders and manage office supply procurement (e.g. Staples);
- Address employee inquiries related to payroll and group insurance.
Qualifications:
- Post-secondary diploma or certificate in Human Resources, Administration, or a related field (e.g., AEC, DEC, bachelor’s degree);
- Minimum 1–2 years of experience in a similar administrative or HR coordination role;
- Basic knowledge of labor standards and HR best practices;
- Proficiency in Microsoft Office Suite (Excel, Outlook, Word) and adaptability to internal systems;
- Strong organizational skills, attention to detail, and customer service orientation;
- Bilingualism (English/French) is a necessary asset;
- Ability to work independently in a fast-paced environment.
Conditions & Requirements:
- Full-time, permanent position (40 hours per week);
- Daytime office schedule, Monday to Friday;
- Must be eligible to obtain a Restricted Area Identification Card (RAIC) for airport access.
