About the Position
The Administrative Coordinator (QA) plays a key role supporting the activities of the Quality Assurance and compliance Department. Reporting to the Quality Assurance and Compliance Manager, this position is responsible for collaborating across Departments to ensure that corporate and client standards are maintained.
This position is primarily based out of our GTA office located in Vaughn.

Job Duties
Quality Assurance & Compliance
- Create, modify, and assign inspections and service requests within software systems, ensuring all relevant details are documented
- Follow up to address any delays or non-conformance issues, escalating as required
- Support corporate quality assurance activities to ensure compliance with internal and regulatory standards
- Support the QA And Compliance Department develop work plans, checklists and other materials that align with the Client’s service requirements
- Create and communicate informative materials such as procedures, training documents, equipment labels, or other information related to service quality
- Work with QA and Compliance Department to support continuous improvement initiatives
Client and Operations Support
- Maintain accurate records of client-specific requirements and communicate to relevant parties
- Provide administrative support to ensure adherence to client quality standards
- Run system reports and provide clear, concise reports to internal and external audiences
- Assist in the communication of CCS standards to internal and external audiences
Administrative Support
- Maintain up-to-date records on internal and external software systems
- Provide administrative support to the QA and Compliance Department
- Assist with the collection of information, organization, and submission of documents for internal and external audits and other activities
- Maintain documents within internal databases, ensuring access to latest version and compliance with internal Document Control Policy
- Provide general administrative support including mail and courier handling, office supply management, and other related duties as needed
Candidate Profile
- Bachelor’s or Associate Degree in Business or related field
- 1-2 years’ of experience in an administrative role
- Strong organizational skills, meticulous attention to detail and accuracy
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); comfort in learning new software systems
- Effective time management skills, staying on top of timelines and meeting deadlines
- Ability to work independently and collaboratively to meet shared goals
- Curious, quick learner, with strong problem-solving skills and interest in process and other improvements
- Ability to work in fast-paced environment, meeting deadlines, prioritizing, and adapting to changing priorities
- Positive, friendly mindset and ability to collaborate with a diverse group of internal and external stakeholders
- Preference will be given to candidates with multi-lingual abilities
