Finance & System Administrator

Franzen North America is the Canadian subsidiary of a leading international trading company headquartered in Germany. We are seeking a detail-oriented and proactive Finance & Operations Coordinator to join our team. This is a multifaceted role that combines financial management, inventory oversight, and operational coordination within a small, dynamic team.
Key Responsibilities:
- Serve as the primary bookkeeper/accountant, working closely with the local General Manager.
- Prepare monthly, quarterly, and annual financial reports (P&L, Balance Sheet), and report to the Director of Finance at our German headquarters.
- Manage accounts payable and receivable, including processing payments and issuing payment reminders.
- Prepare and file monthly GST/HST returns and coordinate tax payments.
- Prepare biweekly/monthly payroll using Ceridian and ensure compliance with Canadian payroll regulations.
- Compile and report monthly Controlling KPI reports to the German headquarters.
- Act as a liaison between the Canadian entity and the Director of Finance in Germany, our Canadian CPA, and relevant tax authorities.
- Support the transition from current financial systems (Excel/QuickBooks) to SAP, including testing, data migration, and staff onboarding.
- Take ownership of inventory management, including stock analysis, turnover metrics, valuation, and replenishment planning. This includes both system-based reporting and coordination with the warehouse team.
- Supervise warehouse operations and staff (1 shipper/receiver).
- Track and report on supplier performance metrics.
- Provide light IT support as needed (e.g., coordinating with IT vendors, assisting with system setups or troubleshooting minor issues).
Qualifications and Skills:
- Education in bookkeeping, accounting, or a related field.
- Proven experience in bookkeeping/accounting and payroll administration.
- Experience managing international logistics, including import/export regulations, customs documentation, and compliance.
- Strong background in inventory control and warehouse staff supervision.
- Comfortable using modern office software (MS Office, Teams) and ERP systems.
- Experience with SAP is an asset.
- Prior work in a trading or distribution company is an advantage.
- Familiarity with ISO 9001 and other formal quality management systems is a plus.
- Strong communication skills and ability to collaborate across time zones and departments.
