The role: *Please note - this is a 4-month contract Opportunity*

Servicing over 100 branches / departments and more than 1900 employees, the Facilities Coordinator is the first point of contact for all Facilities related incidents, problems, changes or requests from the Meridian group of companies and Meridian’s tenants. The Facilities Coordinator is responsible for performing operational support duties of the Facilities Management function through Meridian’s ticketing system.

Having the passion and obsession for delivering Service Excellence is essential for this position, as is having expert verbal and written communication skills and a vast general knowledge of all of Meridian’s facilities related equipment and configurations.

Rotating On-call support for after-hours emergency calls at branches and corporate offices is a requirement of this position.


Key Responsibilities

  • Provide prompt attention and response to Branch, Corporate Office and Tenant requests including alarms, security, building or landlord issues, etc.
  • Engage pre-approved contractors to resolve property issues following defined SOPs and validate work is completed within time and quality expectations and meets or exceeds customer’s expectations
  • Ensure tickets are distributed or escalated promptly to the correct vendor, landlord for actioning
  • Continuously monitor ticket progress to ensure a successful resolution is concluded within defined SLAs, communicating with the ticket owner regularly throughout the process
  • Assist in the management of emergency procedures for Corporate Offices and Branches
  • Respond to and remedy after hours emergency requests on an “on call” basis. Engage pre-approved contractors to resolve property issues following defined SOPs and validate work is completed within time and quality expectations and meets or exceeds customer’s expectations
  • Ensure tickets are distributed or escalated promptly to the correct vendor, landlord for actioningContinuously monitor ticket progress to ensure a successful resolution is concluded within defined SLAs, communicating with the ticket owner regularly throughout the process
  • Visit all assigned Branches at least once a year to perform Branch inspection
  • Scope work for Branch/CBC/CO renovations and produce quotes suitable for Sr. Management review
  • Monitor administrative adherence to corporate and departmental policies, standards and procedures
  • Maintain the databases for access cards and activates new photo I.D. cards
  • Help define, communicate and implement and monitor all administrative Service Level Agreements (SLA’s) including reporting, as required
  • Assist in energy management and maintenance in CO and Branches
  • Manage and procure Vendor’s for new furniture requirements, as needed, in Branches and CO
  • Maintain preventative maintenance schedules and contracts and propose additional programs as required
  • Perform the duties associated with the Receptionist, Mail Room and Office Ambassador functions in the St Catharines or Toronto Corporate Offices, to deliver a clean, safe, secure and aesthetically pleasing work environment
  • Perform other duties and special projects including but not limited to meeting and conference room set ups, building occupant moves, minor building repairs/clean up and furniture assembly, etc.
  • Other duties as assigned

Knowledge, Experience and Skills

  • General knowledge of building systems, construction practices and related code/legislative requirements.
  • General knowledge of health & safety legislation, codes of practice, and internal standards and guidelines relating to contractors within the managed facility
  • Proficiency in MS Office suite (Outlook, Word, Excel), is required
  • Ability to work on several issues at a time
  • Ability to work in a team environment
  • Superior client management/customer service skills with an emphasis on verbal/written communication
  • Skilled in developing strong working relationships with contractors, clients and consultants
  • Strong organizational, analytical and documentation skills with the ability to multi-task and set priorities.
  • Ability to meet deadlines and schedules.
  • The incumbent must be able to communicate proficiently in English, both orally and in writing.
  • Service Desk and ticketing system experience is required
  • 3+ years’ experience in Facilities Management, Construction Project Management or Property Management
  • 1-3 years experience in Property Management, Project Management, or Facilities Management preferred

Salary Range: CAD $50,000– $60,000 annually

Compensation for this role is based on a combination of skills, experience, and internal equity. Candidates with stronger alignment to the role’s requirements may be placed higher within the range. Your recruiter will share more information about our total rewards package during the hiring process.


Office Location: St. Catharines Corporate office. This is an on-site work opportunity.
