We’re looking for a thoughtful, dynamic, and highly organized Executive Assistant to support the EVP, and two VP’s of Corporate & Capital Markets Finance at our Downtown Toronto headquarters. What You’ll Do
As the right hand to the EVP, your responsibilities will include:
Providing full-spectrum executive administrative support, including calendar, inbox, task, and contact management, travel planning, expense reimbursements, and document and presentation preparation.
Coordinating a complex calendar, managing conflicting priorities and time zones.
Preparing professional-grade reports, presentations, and communications—often related to sensitive and high-impact topics.
Managing and monitoring incoming communications, ensuring timely responses and follow-up.
Organizing meetings: scheduling, agendas, minute-taking, catering, and action item tracking while working closely with other Executive and Administrative Assistants.
Handling invoice processing, coding, and expense accruals.
Planning and coordinating team events, leadership offsites, and Town Halls.
Building strong, respectful relationships with internal and external stakeholders, acting as a thoughtful liaison and a warm representative.
Handling last-minute changes and complex logistics with calmness, urgency, attentiveness and care.
Supporting a strong team culture with positivity, empathy, and inclusion.
What You Bring
7–10 years’ experience supporting a C-suite executive in a large, complex, and ideally global organization—preferably in finance or capital markets.
Expert-level proficiency in Microsoft Outlook, PowerPoint, Word, SharePoint, OneNote, To-Do, and Co-Pilot.
Exceptional organizational, time management, and prioritization skills, with the ability to manage competing demands seamlessly.
Clear and confident communication—both written and verbal—with strong attention to tone, detail, and audience.
A natural sense of candor and professionalism, with the confidence to express your point of view thoughtfully and constructively.
A post-secondary education is preferred.
