Founded over 40 years ago, Metal-Air Mechanical Systems Ltd. is a Sudbury-based mechanical contracting company which services the industrial, commercial, and institutional markets. Serving Northern and Central Ontario, Metal-Air is looking for a skilled, highly motivated, enthusiastic individual to join our team in the role of: Executive Assistant.
Key Responsibilities:
- Prepare and organize a variety of documents and correspondence in an accurate and professional format.
- Scan, organize, and catalogue electronic documents.
- Coordinate meetings, prepare agendas, record minutes, and coordinate catering requirements.
- Conduct research, compile data and maintain databases and master documents.
- Handle with discretion and perform work associated with confidential business decisions or other sensitive issues with tack and diplomacy.
- Oversee and maintain various HR program.
- Maintain training and development database.
- Update company policies / safety program.
- Develop weekly Health, Safety and Wellness Chats.
- Update company intranet.
- Provide technical support to end-users, addressing hardware and software issues promptly.
- Collaborate with third-party IT provider to implement and upgrade software and hardware solutions.
- Assist executive staff with in-office needs.
Qualifications / Essential skills:
- Excellent communication skills, both verbal and written.
- Knowledge of office equipment for the purpose of troubleshooting, minimal servicing and repairing (i.e., computers, photocopiers, printers, scanners, etc.).
- Proficiency in Microsoft applications (Outlook, Word, Excel, PowerPoint) and Adobe Acrobat.
- Able to prioritize constantly changing and conflicting priorities while meeting deadlines and working under pressure.
- Meticulous attention to detail.
- Strong work ethic.
- Punctual and motivated.
- Oversee and schedule training as needed.
- Able to adapt to and learn new software.
- Able to maintain electronic filing systems and databases.
- Able to work and collaborate as part of a team and work independently.
- Must have own transportation.
- Bilingualism is considered an asset.
- 2-4 years of relevant HR experience is considered an asset.
- Health and Safety experience and training is considered an asset.
Required experience:
- Administrative experience: minimum of 2 years
- Computer savvy with basic knowledge of networking concepts.
Working Conditions:
- 26-32 hours/week
- Office setting – Remote work is not offered for this role.
- Long periods of sitting/working at a computer, independently.
