Position Summary
As an Executive Assistant, you will provide comprehensive administrative support to our Chief Human Resources Officer and Director, Human Resources Service Centre, managing calendars, coordinating workflows, and handling email correspondence. This pivotal role also involves preparing budgets and projections, coordinating departmental infrastructure, and supporting the OHS program. We require someone who is highly diplomatic, discreet, and capable of exercising independent judgment in a dynamic, fast-paced environment.
Job Duties/Responsibilities
- provide comprehensive administrative support to the Chief Human Resources Officer, including managing confidential calendars, organizing meetings, drafting correspondence, and prioritizing communications
- manage and prioritize confidential email and correspondence, exercising sound judgment to determine urgent matters and independently resolving or re-directing other inquiries
- coordinate departmental tasks and ensure timely completion, including preparing briefing notes, speaking notes, and presentations for Chief Human Resources Officer
- support the Human Resources department by reviewing and formatting documents, assisting with the Division's OHS program, and coordinating infrastructure and technology needs
- gather information and prepare reports for CUPE locals; coordinate logistics and provide real-time support to the Division's negotiating teams for ATA Local bargaining
- lead budget and financial administration by preparing spring and fall budgets, projections, and results review documents, and reconciling monthly financial reports
- utilize Google Workspace proficiently to create and manage shared documents, ensuring adherence to record management practices and tracking document completion
Education/Qualifications
- a diploma in office administration
- a minimum of three years related experience at the executive level, preferably in a school division environment and/or with a Board
- demonstrated experience with financial management including data analysis, month end reconciliation and budget preparation
- exceptional communication and interpersonal skills
- advanced proficiency with Google Workspace, MS Office, PeopleSoft, and eBiz
Rate of Pay
$42.14 - $53.81 hourly
