As an Executive Assistant, you will work collaboratively with the CFO and Finance team members.
More specifically, you will:
- Provide administrative support to the CFO and Group Finance team members, including scheduling and document preparation.
- Manage the CFO’s calendar, including reviewing, prioritizing, and responding to emails, scheduling meetings, flagging urgent items, as well as ensuring timely follow-up on key communications and actions
- Organize travel and accommodation for Finance team members
- Manage day-to-day office operations and ensure a well-organized, clean, and safe working environment.
- Handle meeting logistics, room reservations, minutes, and schedule monitoring
- Serve as the main point of contact for office vendors, building management, and service providers.
- Maintain office supply inventory and place orders as needed.
- Coordinate office events and visitor logistics.
- Assist with onboarding new employees, including workstation setup and access credentials.
- Oversee incoming/outgoing mail and courier services.
- Support basic accounting or finance tasks such as expense reports.
- Ensure compliance with company policies and procedures.
Qualifications
- 5+ years of experience as an executive assistant, administration, or a similar role.
- Strong organizational and multitasking abilities.
- Excellent communication skills in English and French (written and spoken).
- Proficient with Microsoft Office Suite and collaboration tools (e.g., Teams).
- Positive attitude, proactive, resourceful, and detail oriented.
- Experience working in a fast-paced, professional environment.
- Customer-centric mindset with a focus on service excellence.
