The Position:
Reporting to the Director, Events and Public Affairs, the Event Platforms Specialist is responsible for leading the development, maintenance, administration and improvements of event technology platforms including registration, sponsor/exhibitor applications, payments, websites, communications, reporting and the event app for all conferences. The Specialist’s role will include a unique blend of platforms management and communications.

Platform Management
- Collect requirements and lead the architecture, build, testing, and maintenance of event registration paths for attendees, sponsors/exhibitors, and speakers using the registration platform.
- Ensure seamless integration between registration systems and the event app, maintaining data accuracy and user experience.
- Design, test, and update visual assets and content across event websites, email templates, and registration platforms.
- Develop and manage the event app, ensuring accurate content integration, and setup of features such as gamification, surveys, announcements, and live displays.
- Maintain a detailed production schedule for all platform launches, ensuring adequate time for testing, reviews, and stakeholder feedback.
- Proactively identify and implement improvements to platform structure, workflows, and user experience.
- Maintain and update standard operating procedures (SOPs)
- Respond promptly and professionally to inquiries in the central Events inbox or to the team to handle registration record edits.
- Collaborate with the team to establish and maintain a communications schedule and supporting documentation.
- Draft, edit, and manage the review process for attendee communications, including confirmations, reminders, app content, announcements, and help documentation.
- Ensure messaging is clear, timely, and consistent across all platforms and tailored to various audiences (e.g., members, sponsors, speakers).
- Create visual assets using tools like Canva to support event communications and materials.
- Collaborate with Member Services to manage member and affiliate contact records and create invitation lists within the registration platform.
- Lead the development and maintenance of non-member invitation lists, ensuring compliance with CASL and internal protocols, and coordinating stakeholder reviews.
- Support post-event CRM updates, including attendee lists, contact information, and participation tracking.
- Build and maintain accurate registration reports to support internal monitoring and outreach efforts.
- Assist with post-event reporting and analytics, including metrics from registration and app platforms to inform future planning.
- College or University degree in a related field with 3- 5 years’ experience or equivalent
- Previous financial services experience, knowledge of the life and health insurance industry, and/or experience with member-based organizations may be considered an asset
- Demonstrated good understanding of discipline with related technical skills; senior roles: solid knowledge of respective discipline(s)
- Strong in MS Office (Word, Excel, PowerPoint, SharePoint, MS Planner), and Adobe.
- Experienced in managing registration platforms and event apps, with advanced skills in Swoogo is preferred.
- Familiar with HTML/CSS, email marketing tools, and CRM systems for contact and data management.
- Demonstrated ability to configure SaaS platforms, onboard users, and provide technical support.
- Intermediate design tools skills (Canva).
- Communication skills (verbal, written, digital), including the ability to effectively build relationships and work collaboratively with individuals at all levels within and outside the Association
- Research, analytical, and problem-solving skills to understand issues affecting the life and health insurance industry or functional discipline; develop options, and make evidence-based recommendations to organizational leadership in support of decision-making
- Organization, project, and time management skills to handle multiple projects, including those with tight timelines and changing priorities
- Familiarity with the policy and legislative processes and political dynamics in the federal, provincial, and territorial governments as required
- Some experience participating in and supporting committees or working groups is considered an asset
- Bilingual (English, French) language skills may be required
