The Estimating Administrator plays a key role in preparing, organizing, and managing bid documentation to ensure the estimating team has accurate, up-to-date information. This role requires strong administrative skills, attention to detail, and the ability to coordinate effectively with estimators, project managers, and other stakeholders.
* Prepare and maintain estimating files — both hard copies and digital — ensuring all records are organized and accessible.
* Download and manage drawings, specifications, and other tender documents from client portals or bid platforms.
* Maintain and update the estimating bid log and project database.
* Act as liaison between estimators, project managers, and other team members to ensure timely information flow.
* Review bid documents to determine the scope of work required for pricing.
* Assist in tracking bid deadlines and submission requirements.
* Prepare prequalification documents and submittals
* Support general estimating and administrative tasks as required.
* Previous experience in an estimating, construction, or engineering environment preferred.
* Strong organizational skills with exceptional attention to detail.
* Proficient with Microsoft Office Suite; experience with estimating software and project management tools is an asset.
* Ability to read and interpret construction drawings and specifications (an asset, but training can be provided).
* Strong communication and interpersonal skills.
* Ability to manage multiple tasks and work under tight deadlines.
