Key Responsibilities:
Leadership & Team Management:
- Provide leadership, guidance, and motivation to front desk, hygiene, and clinical team members.
- Oversee daily operations to ensure smooth and efficient clinic flow.
- Conduct regular team meetings and performance check-ins.
- Support onboarding and training of new staff.
Patient Experience & Scheduling:
- Ensure exceptional customer service and patient satisfaction from check-in to check-out.
- Monitor and manage appointment scheduling to optimize productivity and reduce downtime.
- Handle patient complaints, concerns, and feedback professionally and promptly.
- Maintain recall and reactivation systems to ensure consistent hygiene schedule.
Financial & Insurance Management:
- Oversee billing, collections, and accounts receivable processes.
- Review and manage insurance claims and pre-authorizations.
- Monitor financial performance, report on KPIs, and implement improvements.
- Ensure accurate treatment plan presentations and financial arrangements with patients.
Compliance & Office Operations:
- Ensure compliance with infection control protocols, health and safety regulations, and dental regulatory standards (RCDSO, IPAC).
- Maintain inventory and order supplies efficiently.
- Coordinate maintenance and servicing of dental equipment.
- Implement and update office policies and standard operating procedures.
Communication & Coordination:
- Act as a liaison between clinical and administrative staff for smooth collaboration.
- Communicate effectively with dentists, hygienists, and support staff to manage workflow and priorities.
- Support marketing initiatives, social media, and community outreach where applicable.
Technology & Software Oversight:
- Proficient in dental software (e.g., Dentrix, Tracker, ClearDent, or ABELDent).
- Generate and analyze reports related to production, collections, and patient retention.
- Maintain accurate and up-to-date patient records.
Qualifications:
- Minimum 2–3 years of dental office management or team leadership experience.
- Strong knowledge of dental procedures, billing, and insurance systems.
- Exceptional communication, problem-solving, and interpersonal skills.
- Ability to multitask and thrive in a fast-paced environment.
- Proficiency in dental software and Microsoft Office suite.
- Positive attitude with a focus on solutions and team growth.
- HARP certified is a plus point
- ABELDENT software knowledge is MUST
Strong LEADERSHIP skills
- Previous experience working at the front desk of a dental practice is PREFERRED
- Proficient in using electronic dental records systems
- Strong administrative and organizational skills
- Excellent communication and customer service skills
- Ability to multitask and prioritize tasks effectively
- Detail-oriented and able to maintain accuracy in patient records and billing
