Job Summary:
This position is responsible for coordinating and administering accommodated testing and integrated services delivered through Ontario Tech Test Centre locations (North and Downtown Campuses), in support of students with disabilities.

Responsibilities/accountabilities:

1. Test/Exam Coordination & Administration:

  • Coordinates the administration of alternative tests/exams for students with disabilities
  • Recruits, trains and coordinates invigilators and scribes to monitor exams in a manner that ensures adherence to the University’s policy on academic integrity
  • Invigilation: Primary invigilator for the test centre during slower periods, including invigilator backup
  • On call during examination periods to support test centre operations (including outside of standard work hours)
  • Liaising with Faculties to confirm student arrangements, obtain testing materials, printing quizzes, tests, midterms and exams and facilitating the return of completed texts/exams
  • Supporting members of the Student Accessibility Services team in providing academic accommodations, alternative testing, student support and program delivery
  • Supports new Test Centre initiatives as directed and representing Test Centre and Integrated Services on campus committees and events
  • Handles incidents in a timely manner, ensuring incident reports are completed accurately and on time, shared on a need-to-know basis, and that all supporting documentation, reports, and evidence are maintained in accordance with Test Centre protocols for handling sensitive materials

2. Integrated Services Coordination

  • Contributes to developing, delivering, coordinating, and assessing
  • 1) Computerized Note-Taking programs for deaf and hard-of hearing students. This includes coordinating with third-party vendor(s), onboarding CNTs with Ontario Tech technology (such as Canvas, Clockwork, and Google Docs), and reviewing and verifying vendor invoices.
  • 2) Alternative formatting. This includes coordination with students, Student Accessibility Services advisors, communication with vendors and collaboration with the Assistive Technologist.
  • 3) Captioning Materials
  • 4) alternative testing arrangements, FM hearing systems, notetakers, training and access to computers and adaptive software, alternative text formats, interpreters
  • Collaborating with instructors, teaching assistants, faculties, and the Assistive Technology Specialist to ensure the timely conversion of examination materials into accessible formats, such as Braille, large print, electronic, Kurzweil, Read&Write etc.
  • Scanning, transcribing and producing accessible format test, exam and other course materials when necessary
  • Installing and testing assistive software on student laptops and in test/exam centres to ensure system integrity, general safety and operational capability
  • Monitoring and troubleshooting computer equipment, software applications and adaptive technologies to ensure proper execution
  • Maintaining databases for all quizzes, tests, midterms and final exams, conferring with IT and software provider to troubleshoot and correct problems
  • Assisting in the collection of student data and the preparation of Ministry reports for accessibility funds and grants
  • Compile, analyze, interpret and prepare data by identifying trends, significant findings and anomalies
  • Maintaining statistical information regarding the use of services provided by the test centre and contribute to the annual report
  • Assesses and reports program and service outcomes

3. Stepped Care and Student Support:

  • Provides coverage as needed, including breaks, illness, or vacations, and is coordinated through departmental managers

4. Special Projects:

  • Contributes to developing, delivering, coordinating, and assessing special projects as assigned by manager
  • Collaborates with internal and external stakeholders to ensure successful project implementation.

Required Skills:

  • Knowledge of test centre operations, invigilating procedures and guidelines, and ability to ensure test integrity and security
  • Knowledge and experience with group development techniques and training skills with individuals and small groups
  • Forward-thinking with good judgment, strong decision-making, and problem-solving skills
  • Solid understanding of customer service ethic, academic integrity and respect for confidentiality
  • Superior organizational skills
  • Strong analytical mindset with the ability to understand, track, and report data accurately
  • Adaptable and flexible, with the ability to respond effectively to shifting priorities and changing demands while maintaining professionalism and diplomacyProven ability to perform effectively under pressure, meeting tight deadlines and handling last-minute changes with professionalism and composure.
  • Ability to work effectively individually and within a team environment
  • Computer, Word processing and data base skills are essential
  • Demonstrated knowledge of assistive technology used by persons with a disability and proven ability to troubleshoot technology issues
  • Demonstrated ability to collaborate and communicate effectively in writing and orally
  • Demonstrated ability to prioritize tasks, work independently, maintain attention to detail, and manage multiple responsibilities while accommodating frequent interruptions.
  • Proven ability to carry out detailed procedures with a high level of accuracy
  • Demonstrated ability to take initiative while respecting the confidential nature of student information
  • Understanding of legislative requirements in the area of human rights and accessibility, different learning disabilities and mental health issues and useful techniques in assisting and supporting students with these issues

Required Education:

  • Completion of a formal post-secondary/college/university program of three academic years or equivalent
  • Verification of Academic credentials may be required

Required Experience:

  • 1–3 years of related experience
  • Experience with recruitment, training, and coordination of staff, as well as test centre operations
  • Experience working in a post-secondary environment
  • Minimum of two years proven experience working with and demonstrating understanding and sensitivity to individuals with various disabilities
