Looking for a new opportunity? We are looking for a Coordinator, Permits & Approvals to join our team!
What You Will Do
- Reports to the Manager, Programs & Partnerships.
- Responsible for coordinating all municipal and provincial regulatory matters that may impact the design and construction of Capital Works Program projects.
- Liaises with municipal and provincial agencies and departments to identify and secure the necessary permits, approvals, and agreements.
- Provides advice and direction to project teams and design consultants regarding required approvals.
- Acts as the main point of contact between project teams and external agencies.
- Coordinates all regulatory issues that may affect project design and construction.
- Reviews capital project design submissions to identify potential municipal and/or provincial permits and approvals.
- Assists project teams and their designers/contractors in obtaining required permits, approvals, and agreements.
- Directs and coordinates input from project teams to ensure all submission requirements are met efficiently.
- Coordinates with City divisions to prepare and submit documents for site plan approvals, zoning by-law amendments, minor variances, and official plan exemptions.
- Tracks and supports compliance with all Notice of Approval Conditions related to planning applications.
- Leads or assists in negotiating municipal and provincial agreements as needed.
- Establishes and maintains strong working relationships with regulatory bodies to support timely reviews and approvals.
- Assists in developing new processes and protocols for coordinating permits and approvals.
- Maintains an up-to-date contact list of third-party agencies and stakeholders.
- Tracks permits and approvals pursued directly by the Planning and Property Development (PPD) department.
- Ensures all permits and approvals are documented in the TTC’s document management system for handover to project and operations teams.
- Coordinates with the Property group to ensure permits and approvals align with relevant agreements.
- Monitors changes to regulatory requirements to ensure project teams receive current guidance.
- Reports complex or high-risk issues to Management in a timely manner.

What Qualifications Do You Bring
- Completion of a post-secondary college diploma or university degree in a related discipline (e.g., Planning, Engineering or Environmental Science), or a combination of education, training, and experience deemed equivalent
- Professional registration or membership with organizations such as OPPI, PEO, or OACETT is considered an asset.
- PMP (Project Management Professional) certification is considered an asset.
- Minimum of 5 years of directly related experience in interpreting and applying regulatory requirements, managing third-party permits and approvals processes, and addressing environmental or property-related issues associated with large municipal infrastructure projects.
- Proven ability to review and provide feedback on design submissions, particularly those related to permits and approvals.
- Sound judgment, strong problem-solving skills, and exceptional attention to detail.
- Excellent interpersonal and negotiation skills to manage complex issues involving multiple stakeholders, including government agencies and external partners.
- Ability to work effectively in a fast-paced environment, managing multiple tasks and shifting priorities with confidence.
