Position Overview
The Construction Office Manager will be responsible for overseeing day-to-day administrative functions, ensuring efficient office operations, and providing essential support to project managers and field staff. The successful candidate will be highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment.
Key Responsibilities
- Manage and coordinate all office administrative functions, including scheduling, filing, and document control
- Support project teams with contracts, permits, compliance documentation, and project records
- Oversee payroll, timesheets, expense tracking, and job costing processes
- Prepare and process invoices, purchase orders, and oversee preparation of vendor payments
- Act as the primary point of contact between office staff, site crews, subcontractors, and clients
- Ensure compliance with company policies, health and safety regulations, and industry standards
- Maintain accurate records, reports, and databases to support project delivery and company operations
- Implement and improve office systems to enhance efficiency and organization
Qualifications
- Post-secondary education in business administration, construction management, or a related field (preferred)
- Minimum 3 years of experience in office management or administration (construction industry experience is a strong asset)
- Strong knowledge of office management systems, basic accounting practices, and document control
- Proficiency in Microsoft Office Suite; experience with construction management software
- Excellent organizational, communication, and interpersonal skills
- Ability to manage competing deadlines and work independently with minimal supervision
- High level of professionalism, discretion, and attention to detail
