The University of the Fraser Valley Student Union Society (SUS) is a BC Not-For-Profit Society representing and serving UFV students. The Society manages the Student Union Building and facilitates services such as the UFV U-Pass, food services, and the student health and dental plan. SUS also provides support to an active community by organizing events and providing wellness and developmental programming. As the official representative body of UFV students, our mission is to be an inclusive community that provides high-quality, accessible programs and services. Work Schedule: 37.5 hrs a week (Monday-Friday), 16-month contract

POSITION DESCRIPTION
Are you an enthusiastic, organized, and self-driven individual who enjoys supporting student engagement on campus? SUS is hiring a Clubs & Associations (C&A) Coordinator to join our team. We're seeking someone passionate about UFV and eager to contribute to its growth and improvement of the on-campus experience.
In this role, you’ll coordinate club registration, manage budget and club requests relating to funding and events, and support long-term plans to strengthen C&As on campus. You'll help students through registration and the events, and the funding process. You will also develop engaging programming for clubs, and serve as the main point of contact for C&A-related questions.
As part of the Programs and Services team, you'll also gather student feedback, engage with our community, and help create welcoming, inclusive spaces. Additional duties may be assigned to support our goal of increasing student engagement and leadership opportunities on campus.
RESPONSIBILITIES AND DUTIES OF THE CLUBS & ASSOCIATIONS ASSISTANT
The C&A Coordinator has specific responsibility for a variety of functions, including but not limited to the following:
- Coordinate the SUB Clubhouse - our dedicated space for C&A's;
- Provide support and training to club executives, including our C&A platform, Rubric;
- Participate and assist in club events on campus;
- Review, consult, and update C&A policies, procedures and forms;
- Maintain and build relationships with key stakeholders, including club executives and UFV departments;
- Create programming to support the C&A community, including SUS Partnered events
- Assist with volunteer coordination and community building;
Other projects and duties as assigned by the Programs & Services Manager.
QUALIFICATIONS AND ASSETS
Communication: Excellent written and verbal communication skills, along with strong interpersonal abilities. Comfortable working collaboratively and building connections with students.
Clubs & Associations Involvement: Previous experience participating in C&As is a strong asset.
Organization & Administration: Strong organizational and administrative skills, with the ability to manage multiple tasks, track details, and maintain accurate records.
Event Planning: Experience planning, coordinating, or supporting events and activities, with an eye for logistics and student engagement.
Knowledge of UFV: Understanding of UFV campuses, academic programs, and SUS policies is considered an asset.
Work Ethic: Demonstrates professionalism, good judgment, initiative, and a strong sense of responsibility.
Confidentiality: Capable of handling sensitive information with discretion and maintaining confidentiality.
TERM OF EMPLOYMENT
This is an in-person temporary 16-month contract with occasional evening hours.
COMPENSATION AND BENEFITS:
$45,000 annually, with a comprehensive Health & Dental benefits plan. We offer a generous leave allowance, including 12 days of vacation in addition to a winter break (typically 10 days at the end of December). This position also receives a monthly cell phone allowance.
