POSITION SUMMARY:
The Clinical Coordinator plays a vital role in the seamless delivery of Cedars Recovery’s clinical programming. This position ensures that all logistical and administrative aspects of patient care are effectively coordinated, reflecting Cedars' mission, vision, and values. Working closely with the Clinical team, the Clinical Coordinator is responsible for scheduling, tracking, and organizing various elements of the treatment process, ensuring smooth operations and a positive patient experience.
The Clinical Coordinator is the central hub for ensuring appointments, therapies, and specialized treatment groups run efficiently. They act as a liaison between departments and assist with documentation and reporting. This role is ideal for someone who is highly organized, detail-oriented, and passionate about supporting a recovery-focused environment.
ACCOUNTABILITIES:
Clinical Participation: Shadow and attend structured events to understand nuances of Clinical programming.
- Participate in Clinical debriefs; support and de-escalate patients in the absence of their primary clinician.
- Complete and communicate the daily schedule by 8:15 every morning to staff and upload to patient house screens.
- Attend Clinical Signups meeting and ensure accurate distribution of patients among desired programming.
- Communicate scheduling needs for the subsequent week with contracted service providers each Friday.
- Coordinate, track, and support patient needs related to government assistance programs, such as: Employment Insurance (EI), Income Assistance (IA), and Persons with a Disability (PWD).
- Attend Alumni Engagement events and initiatives as directed by the Clinical Director.
- Develop Excel spreadsheets and schedules as required by leadership.
- Assist the clinical team with the completion and tracking of patient bio-psychosocial histories.
- Maintain the Clinical Staffing Schedule and provide regular reports to the Clinical Director.
- Maintain and publish the daily, monthly, and yearly calendar of Clinical events.
- Build and track closed groups, such as Equine Assisted Learning and CPT (Cognitive Processing Therapy). Updating the lists on Wednesday and Friday each week.
- Schedule and track various group therapies and special groups including relationship maps, Big Book Study, CC Group, Trigger Movie, Women's SLR, Leather Bracelets & Beads, Intro to Treatment, Medicine Bags, Sweat Teachings, Women's Offsite, Sweat Lodge, Daring Way, and Hikes.
- Coordinate administrative tasks such as record requests and employment reference calls.
- Manage the Clinical Lending Library for Patients
- Update Clinical caseloads.
- Support patients and counselling team members through the entire continuum of care.
- A Diploma or bachelor’s degree in a related field is preferred. A comparable combination of education and experience may be considered, at the discretion of the Clinical Director.
- High degree of computer literacy with experience using Microsoft 365 – specifically Teams and Excel.
- Ability to communicate clearly and effectively verbally and in writing.
- Excellent interpersonal skills and ability to effectively interact with various staff involved in the patient treatment process.
- Ability to collaborate and solve problems with other team members, including counseling, medical, administrative, and support staff.
- A commitment to creating a positive environment conducive to healing for both patients and staff.
