Responsibilities
- Review and process warranty claims accurately and efficiently according to manufacturer guidelines.
- Submit claims to manufacturers or third-party warranty providers in a timely manner.
- Track and follow up on claim approvals, denials, or adjustments.
- Ensure proper documentation and coding of repairs and parts replaced under warranty.
- Reconcile warranty payments and process adjustments or resubmissions as needed.
- Collaborate with service advisors, technicians, and parts personnel to verify warranty coverage and clarify repair information.
- Maintain up-to-date knowledge of manufacturer policies, procedures, and bulletins.
- Audit repair orders for compliance with warranty rules and support internal training if issues arise.
- Generate warranty reports and summaries for management review.
- Assist with other administrative or service-related tasks as needed
Qualifications
- Previous experience as a Warranty Administrator or in an automotive dealership/service department is preferred.
- Strong knowledge of automotive systems, terminology, and warranty processes.
- Familiarity with dealership management systems (DMS) such as CDK, Reynolds & Reynolds, or Dealertrack.
- Excellent attention to detail and ability to work with high volumes of data accurately.
- Strong organizational and time management skills.
- Ability to interpret service repair documentation and technical language.
- Professional communication skills and ability to work collaboratively with multiple departments.
- Proficient in Microsoft Office, especially Excel.
- High school diploma or equivalent required; post-secondary education in automotive or business administration is an asset.
