Job Purpose
The Nightshift Fleet Service Advisor plays a critical role in coordinating after-hours repair operations for fleet vehicles. This position ensures seamless communication between technicians, fleet management companies (FMCs), and customers, while maintaining accurate records and managing the repair order (RO) and invoicing process. With a strong understanding of mechanical systems and dealership operations, the advisor facilitates efficient repairs, accurate billing, and outstanding customer service during non-business hours.
Key Responsibilities
- Coordinate with nightshift technicians to prioritize and document required repairs for fleet vehicles.
- Generate and submit repair orders (ROs) and invoices to Fleet Management Companies (FMCs), including using platforms such as Auto Integrate, ensuring timely approval and processing.
- Communicate proactively with customers regarding the status of their vehicles, repair timelines, and any delays or additional approvals needed.
- Maintain accurate, detailed service records and ensure all documentation meets company and FMC standards.
- Ensure all repair estimates and job documentation reflect current pricing, labor, and parts requirements.
- Support the overall night operations workflow to ensure service goals and customer expectations are met.
Required Experience & Qualifications
- Previous experience working in a dealership service environment is preferred.
- Strong mechanical knowledge or prior experience as a mechanic is essential to understand and explain repair needs accurately.
- Proven customer service experience, with the ability to communicate clearly and professionally.
- Prior experience in automotive sales or upselling services is highly desirable.
- Proficient with QuickBooks for invoice tracking and submission.
- Familiarity with Auto Integrate or other FMC platforms for invoicing and approvals.
- High level of attention to detail and strong organizational skills.
- Comfortable working independently during night shifts and solving problems in real-time.
Work Environment & Schedule
- This is a nightshift position; candidates must be available to work evenings, overnights, and/or weekends as needed.
- The role may involve working in both office and workshop environments.
Job Type: Full-time
Pay: From $24.00 per hour
Expected hours: 40 – 45 per week
