SUMMARY: The Newcomer Information Centres are walk-in information and referral centres funded by Immigration, Refugees and Citizenship Canada and operated by Achēv. NICs provide settlement information and referral for the smooth transition of newcomers to life in Canada.
The Administrative Assistant will provide outstanding customer service to clients and administrative support to the Coordinator, Information Counsellors, at Achēv’s Newcomer Information Centre.
DUTIES & RESPONSIBILITIES
- Provide enthusiastic, courteous service to clients and the community at the reception desk
- Respond to client inquiries by phone and in-person in a friendly and welcoming manner
- Assist clients by providing general information and referral to other community services
- Input and update client information in CRM/CETRA
- Contact clients to confirm/reschedule/rebook appointments as necessary
- Assist in generating statistical reports on a regular basis
- Order and keep an inventory of office supplies
- Register clients and organize client questionnaires and evaluations
- Perform a variety of clerical duties, including filing, typing, photocopying, confidential record keeping, and document distribution in accordance with company policies and procedures
- Contribute to team cohesiveness and team building
- Undertake other duties assigned by the coordinator
QUALIFICATIONS:
- Have been registered as full-time students in the previous academic year and must intend to return to school on a full-time basis in the next academic year.
- Canadian Citizen, Permanent Resident, or person to whom refugee protection has been conferred under the Immigration and Refugee Protection Act and must be legally entitled to work in Canada in accordance with relevant provincial/territorial legislation and regulations
- 1-2 years working experience in an administrative environment
- Well organized with the ability to enter data with accuracy
- Advanced numerical and analytical skills
- Demonstrated use of computer technology including Microsoft Office (Word, Excel, PowerPoint, and Outlook)
- Experience in database management
- Excellent communication, interpersonal skills, cultural sensitivity, and problem-solving skills
- Demonstrated organizational and planning skills
- Adaptable, flexible, and able to work in a team environment
- Familiarity with the CETRA database (or extensive use of other database applications) is an asset
- Ability to multi-task, take the initiative, and be able to meet deadlines
- Knowledge of a second language is an asset
- Demonstrated experience in dealing with multicultural and disability issues
