Job Summary
We’re seeking a reliable, detail-oriented Administrative Assistant to support our growing condominium management team. This is an excellent opportunity to join a dynamic, fast-paced office with flexibility for some remote work - and potential to grow into a licensed condominium manager.
You’ll play a key role in ensuring smooth day-to-day operations — assisting with resident communication, financial tracking, scheduling, and administrative coordination across multiple properties.
Responsibilities
- Provide administrative support to property managers
- Prepare and send notices, meeting packages, and owner correspondence
- Maintain digital filing systems and owner records**
- Schedule appointments, meetings, and contractor visits
- Support invoicing, basic bookkeeping, and report generation in QuickBooks Online (QBO)
- Create basic communications and visuals using Canva
- Manage emails and documentation using Microsoft Office Suite (Outlook, Word, Excel)
Experience
- 3+ year of experience in an office administration role
- Proficiency in QBO, Canva, and Microsoft Office
- Strong written communication and organizational skills
- Experience with real estate, rental, or condominium management is an asset
- Setting up email rules, keyboard shortcuts, and using AI tools
- Working with VOIP systems, cloud-based platforms, and online scheduling tools
- A general understanding of routers, modems, and common troubleshooting steps for remote or hybrid work setup
