GFL Environmental is seeking a highly organized and proactive Administrative Assistant to provide comprehensive support to our executive team. In this dynamic role, reporting to the Executive Assistant, you'll be instrumental in ensuring the smooth operation of daily executive functions, managing complex schedules, and facilitating seamless communication.
Key Responsibilities:
- Calendar and Meeting Management: Provide basic calendar management for leaders on the executive team, including arranging internal and external meetings, booking rooms, and coordinating catering. This involves scheduling stakeholders across various time zones and preparing agenda materials.
- Expense Reporting: Prepare and track expense reports for executives in a timely and accurate manner.
- Travel Coordination: Arrange all international travel logistics, including booking hotels, ground transportation, and air travel.
- Document Management: Manage and maintain the organizational chart and various SharePoint documents, ensuring accuracy and accessibility.
- Meeting & Event Support: Serve as a key support contact for all operational and administrative aspects of leadership meetings and events.
- Material Preparation: Assist with preparing presentation materials, slide decks, and other documents. This includes drafting, proofreading, and managing high-quality correspondence, as well as developing numerous PowerPoint presentations and Excel reports. You will handle sensitive and confidential information with absolute discretion.
- Invoice Processing: Work closely with Operations and Procurement leaders to process invoices, serving as a vital conduit to these teams.
- All other general office responsibilities: as required by the management team.
Skills, Abilities, and Requirements:
- A minimum of 3 years of experience providing administrative support to a large team, preferably within a fast-paced corporate environment.
- Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Google Suites (Docs, Sheets, Slides, Calendar).
- Excellent organizational skills, meticulous attention to detail, and a proven ability to manage multiple priorities effectively.
- Demonstrated "can-do" attitude with a proactive and problem-solving approach.
- Post-secondary education in administrative support, office administration, or a related field is preferred.
