We are currently seeking an Administrative Assistant to join our Aldergrove team. This is an exciting opportunity for a professional who thrives in a dynamic, detail-oriented, and customer-focused environment.
Role Overview:
This position is pivotal to our operations and involves handling time-sensitive and confidential matters with professionalism and discretion. The Administrative Assistant will collaborate closely with the senior administrative assistant and our team of funeral directors.
Key Responsibilities:
Answering telephones and directing calls to the appropriate team members.
Welcoming clients, managing reception, and coordinating client appointments.
Processing funeral arrangement files, including liaising with doctors’ offices, registering deaths with Vital Statistics, and completing required paperwork.
Creating and proofing memorial service folders using Microsoft Publisher and templates.
Communicating with clients via phone and email to gather information and provide proactive follow-ups.
Assisting with general administrative tasks to support the team.
Qualifications & Skills:
Minimum 5+ years of administrative experience in a professional setting.
Advanced proficiency in Microsoft Office (Word, Excel, Outlook, Publisher) and Google Apps (e.g., Sheets).
Strong organizational and time-management skills, with the ability to prioritize tasks independently.
Quick decision-making abilities, sound judgment, and analytical thinking.
Exceptional interpersonal and customer service skills.
Professional demeanor, problem-solving mindset, and high attention to detail.
