Administrative and Programming Assistant (“Project Administration Officer”)

Qualifications:
∙ Interest in community development
∙ Knowledge of office procedures
∙ General computer skills
∙ Excellent communication skills (written and oral)
∙ Experience with grant writing experience is a plus
∙ Basic bookkeeping skills are an asset (e.g. preparing invoices)
∙ Ability to work well with management, board, staff, volunteers and others
∙ Ability to take direction well and to show initiative
∙ Experience working, studying, or collaborating with people from diverse cultures and economic backgrounds
∙ Familiarity and experience with a broad array of social media and virtual communication tools, including communications involving event promotion and outreach
∙ Graphic design skills are an asset
∙ Website design, maintenance and upgrades skills is a plus
∙ Technical experience is a plus
Projects and tasks may include:
∙ Helping to organize, schedule, and promote Village Vancouver programs and projects
∙ Assisting with grant writing and other fundraising activities
∙ Preparing invoices and assisting with basic bookkeeping
∙ Handling administrative and programming-related emails and correspondence
∙ Creating Village Vancouver Community Centre/other location and instructor workshop schedule lists.
∙ Tabling at Village Vancouver booths at street fairs, festivals, farmers markets, or other community gatherings
∙ Creating content for and producing the monthly newsletter and promotional materials
∙ Updating our website (e.g. keeping the events calendar up to date and working on creating our new website)
∙ Blogging about Village Vancouver programs and activities
∙ Facilitating community outreach and maintaining mailing lists
∙ Creating seed packet templates
∙ Assisting in preparing our annual report
∙ Writing project proposals and reports
∙ Updating workshop descriptions
∙ Helping with activities, workshops, and events (such as the Westside Food Festival) ∙ Working on membership drives and creating templates
∙ Developing partnership agreements as needed
∙ Other tasks as needed
Rate of pay: $20.00 per hour + 4% in lieu of vacation.
Job duration and hours: 30 hours/week for 9 weeks (270 hours), from June 9th, 2025 to August 8th or 9th, 2025. (Start and end dates may be adjusted.) Monday-Friday 10 am-4:30 pm, including a 1⁄2 hour lunch break. Hours may occasionally vary, and sometimes include a Saturday and/or a Sunday in lieu of a weekday (e.g. when we're tabling at a community fair or festival).
Location: Kitsilano/Westside and remotely, and in the field
