The In-Kind Donations and Administration Coordinator plays a key role in supporting Cornerstone’s community engagement and donor stewardship efforts. This role focuses primarily on coordinating and soliciting in-kind donations to meet the evolving needs of our residents and programs, while also maintaining effective systems for donor recognition and data integrity. This position contributes to Cornerstone’s mission by helping sustain essential resources and deepening community partnerships.
What You’ll Be Doing
Coordinating and Soliciting In-Kind Donations 75%
The primary focus of this role is to coordinate and solicit non-monetary donations from individuals and community organizations. These include, but are not limited to, linens and bedding, hygiene and personal care supplies, food and beverages, and activities and art supplies.
- Serve as the primary point of contact for all in-kind donations.
- Respond to inquiries via email, phone, and in person from community members and organizations.
- Collaborate regularly with program and food services teams to identify high-priority needs (e.g., linens and bedding, hygiene and personal care supplies, food and beverages, activities and art supplies).
- Coordinate with donors to arrange seamless pick-up or delivery of donations through Cornerstone’s online booking system.
- Use a personal vehicle for occasional donation pickups when necessary (mileage reimbursed).
- Receive, sort, catalog, and inventory all in-kind donations using Cornerstone’s donor database and other digital tools such as Excel.
- Ensure appropriate distribution of donations to program teams and proper storage of excess items.
- Coordinate and supervise 5–7 volunteers to maintain the cleanliness and organization of two donation rooms, ensuring consistent availability of high-demand items.
- Track and report inventory movement to support effective program operations.
- Provide regular stewardship to donors through thank-you messages, follow-ups, and updates.
- Maintain ongoing communication with the Director of Development and Communications regarding donation activities, trends, and needs.
- Work closely with the Director of Development and Communications to identify and pursue new in-kind donation opportunities.
- Build and maintain long-term relationships with local businesses (e.g., restaurants, grocery stores, farms) to support Cornerstone’s food services and other programs.
- Design and distribute marketing materials (e.g., posters, graphics, social media content, emails) to promote donation needs to the wider community.
- Identify and engage new businesses and community partners to become recurring donors.
- Assess current donor relationships for potential to increase in-kind contributions.
Holiday Gift Program Management
- Collaborate with the Director of Development and Communications and the Holiday Gift Assistant to lead the annual Holiday Gift Program.
- Support planning, coordination, and execution of the program, ensuring timely collection, sorting, and distribution of donated items.
- Assist in soliciting donations and providing updates and communication to program supporters.
Administrative Support 25%
- Support the Database and Donor Stewardship Officer in maintaining accurate donor records (approximately 10,000) in Raiser’s Edge, including:
- Updating donor communication preferences and mailing addresses
- Managing duplicate records and conducting periodic data audits
- Updating and verifying relationships between individual and organizational records
- Assist in processing and acknowledging memorial and tribute donations.
- Provide administrative support with financial reconciliation and donor reporting.
- Assist with coordination, logistics, and execution of fundraising and community events, including third-party events as needed.
- Perform other administrative duties as assigned to support the Development and Communications team.
What we need from you
Education and Experience:
- University degree or college diploma or equivalent combination of education and experience, required.
- At least one year’s relevant experience in donor relations and stewardship
- with a demonstrated record of accomplishment of success is an asset.
- At least one year’s experience with customer relations management software is an asset
- Previous experience with a fundraising software (i.e. Raiser’s Edge, Mission CRM, Salesforce, DonorPerfect) a strong asset.
- Bilingualism is a strong asset.
Knowledge, Skills & Abilities:
- Excellent written and verbal communication skills, role includes communications and record keeping.
- Exceptional organizational and time management skills.
- Strong data entry skills (with focus on accuracy and attention to detail) and highly proficient in Microsoft Office (especially Excel) and Google suites of products.
- Strong work ethic, professional integrity, initiative-taker.
- Discretion and tact in handling sensitive or confidential information.
- Passion for social services and women’s issues is a must-have.
- Ability to work independently, with minimal supervision, and under the pressure of a multi-stakeholder environment.
- Flexibility to work some evenings/weekends as required.
- Driver’s license and an access to a car is a strong asset.
- Minimum of three days in office is required.
- Appropriate Police Record Check is required.
