Summary
Support and assist the CAN and US Management Teams (corporate, property, finance, asset and accounting) with processing invoices related to each team. Maintaining the integrity of the information recorded and processed is paramount.
Essential Duties and Key Responsibilities
Invoice Processing
- Receive, review, and enter vendor invoices into the accounting systems, verifying accuracy of information such as:
- Expense type and workflow
- Entity verification
- GL code and job code verification.
- Maintain vendor records, including:
- Setting up new vendors in the accounting system
- Using most recent W9 form issued by IRS
- Updating vendor records with changes in information:
- New address/email
- Change in banking information
- Investigate and resolve invoice discrepancies with vendors
- Charge errors
- Missing documentation
- Investigate and resolve outstanding checks with associated vendor
- Void or reissue as needed, noting specific void/reissue reasons in system
- Prepare payment batches for processing, including generating checks and electronic payments
- Ensure timely payment to vendors
- Running Accounts Payable subledger reports as requested
- Running outstanding check report as requested
- Adhere to all company policies and procedures regarding accounts payable processes, including internal controls and tax regulations that affect AP

- Strong computer aptitude is imperative as several types of software are being used
- Strong organizational skills-able to multi-task and meet deadlines
- Three to five years of experience in an accounting-related position
- Familiarity with accounting and office procedures
- Proficiency with Microsoft Office applications
- Yardi accounting software experience is highly desired
- Analytical skills and a basic knowledge of the real estate industry preferred
- High school diploma required, courses in accounting preferred. A bachelor’s degree or working towards one would be considered an asset
The position will work in a general office setting and is required to be in the Dorval office a minimum of one day a week and potentially more, depending on needs.
Physical Demands
Must be able to remain in a stationary position for most of the workday, sitting at a desk, consistently operating a computer. The person in this position must be able to access file cabinets and office machinery (to include a computer, copier, and fax machine). On occasion, may need to lift boxes of up to 10 lbs.
