Kenneth E. Spencer Memorial Home, a 200-bed long-term care facility, is seeking a detail-oriented and collaborative Workforce Coordinator to support the daily workforce scheduling needs of the Home. The Workforce Coordinator will undertake scheduling and timekeeping processes while supporting onboarding, leave tracking, and payroll coordination for the unionized staff. The successful candidate will play a key role in ensuring consistent workforce coverage and operational efficiency across the facility.

This position is a full-time, temporary contract (6 months) with the potential for extension.
Key Responsibilities
- Support the administering of scheduling systems across the employee lifecycle including new hire setup, status changes and transitions
- Support the allocating and replacing of shift vacancies, assign extra shifts, and perform temporary scheduling as needed in line with collective agreements and internal policies
- Create and distribute accurate schedules within established timelines
- Respond promptly to last-minute schedule changes, sick calls, and urgent coverage needs. Process timekeeping transactions including vacation, sick leave, and shift assignments
- Analyze and validate timecards for payroll; process manual payouts as needed
- Respond to employee scheduling inquiries with clarity and professionalism
- Support onboarding coordination and liaise with HR and payroll to maintain data accuracy
- Ensure compliance with documentation procedures and scheduling protocols
- Communicate staffing updates to relevant stakeholders.
- Perform additional administrative and operational duties as assigned outside the scheduling function.
Qualifications & Experience
Education & Experience
- Post-secondary diploma or degree in Business, Office Administration, or a related field
- 1–2 years of experience in staff scheduling, shift coordination, or timekeeping systems (e.g., StaffScheduleCare, Kronos).
- Experience in healthcare or a unionized setting is an asset
