Reporting to the Associate Registrar, Records, Registration, & Reporting the Student Records Clerk will be responsible for the maintenance and archiving of all student records. This role will also process transcript requests and re-issue transcripts based on changes, issuing documentation, process enrolment verification, and assist in the preparation and distribution of a variety of communications to students, faculty, and staff. The Student Records Clerk will work closely with Registration and Admissions Advisors and assist with a variety of administrative tasks as it relates to the Office of the Registrar.
Responsibilities:
- Process transcript requests on a daily basis and handle any inquiries regarding transcripts
- Re-iussue transcripts based on grade changes, etc
- Issue any supporting documentation required for course descriptions, outlines, etc
- Process Verification of Enrolment requests, and handle any inquiries regarding the requests
- Maintain student files, including:
o Ensuring all active files are maintained, including the merging of files from other departments
o Tracking files pulled from vault as requested by staff
o Repair and maintain hard copy files of all students in vault and file room
- Assist in the preparation of a variety of communications (email, phone or mail) and distribution of this information to students, faculty, and the public.
- Develop and revise forms, documents and other materials used in the Registrar’s Office
- Respond to internal and external stakeholder requests in a sensitive and timely fashion; uses problem-solving techniques to resolve sensitive issues
- Other reasonable duties as required
Requirements:
- A High School diploma is required
- Post Secondary credentials in the areas of office administration and/or records management is an asset
- Experience working in a post-secondary education environment is an asset
- Experience working in a service environment is considered an asset
- Effective cross-cultural, interpersonal and customer service skills required
- Effective organizational skills to manage various work assignments given frequent interruptions while maintaining attention to details
- Strong written and verbal communication skills, record-keeping, and ability to maintain professionalism and courtesy in answering/delivering telephone messages
- Strong interpersonal skills with the ability to work as part of a team, maintain confidentiality, and deal with conflict using tact and discretion
- Proficiency with Google Email and Apps, Word, Excel, PowerPoint, and familiarity with educational technologies, with an aptitude to learn other software as required
- Ability to exercise good judgement within established guidelines and capable of working with frequent disturbances
- Commitment to exceptional customer service and a student-focused philosophy
- Satisfactory Criminal Records Check results
