Job Summary
We are seeking a detail-oriented and organized person to answer phones, manage appointment scheduling, invoice clients and ensure smooth operations within our pest control company. The ideal candidate will possess excellent phone etiquette and customer service skills, with a strong ability to multitask. This role is essential in providing a positive experience for our clients while supporting our staff. The candidate must possess a strong desire to learn about pest control and the various methods used, in order to effectively schedule jobs and communicate with clients.
Responsibilities
- Manage and coordinate client appointments, ensuring optimal scheduling for both clients and technicians.
- Answer incoming calls with professionalism, providing information and assistance as needed.
- Utilize phone, email and text messages effectively to communicate with clients and staff.
- Maintain accurate records of appointments, cancellations, and rescheduling in the office management system.
- Collaborate with staff to ensure efficient job scheduling and address any scheduling conflicts.
- Perform clerical duties including filing, data entry, invoicing and proofreading documents for accuracy.
- Assist with administrative tasks as needed.
Requirements
- Previous reception and scheduling experience required.
- Strong customer service skills with the ability to communicate clearly and effectively over the phone.
- Proficiency in Google Suite applications (Docs, Excel Sheets).
- Familiarity with clerical tasks such as data entry and document management.
- Ability to type 50 wpm.
- Excellent attention to detail with strong proofreading skills.
- Ability to work independently as well as part of a team.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Pest control knowledge or the desire to learn.
- Work from home with the ability to pick up supplies and run errands when needed.
