About the Position:
The Receptionist is an important part of the administrative team and is the face of the company. This position supports the office manager with a wide variety of clerical office duties and will provide world-class service through their superior customer service skills.

Duties and Responsibilities:
- Present a positive and professional image of the organization to all tenants, visitors, suppliers, phone inquiries and other interactions.
- Greet and direct tenants, clients and visitors in a courteous manner.
- Answer and manage inbound telephone inquiries for multiple tenants and divisions.
- Provide information about available office space, pricing and amenities and conduct facility tours for potential tenants.
- Assist the office manager with onboarding new tenants.
- Maintain office supply inventory and place orders when needed.
- Report maintenance issues to property management on behalf of tenants.
- Conduct daily checks of common areas to ensure cleanliness and functionality.
- Respond to e-mail, and in-person inquiries from tenants, clients, business partners, and other parties.
- Refer all inquiries to the appropriate individuals, divisions, or departments across the organization.
- Maintain the reception area in a tidy and presentable manner.
- Maintain accurate tenant contact records.
- Manage access and reservations for boardrooms.
- Administer and manage inbound/outbound mail, including priority post, packages, courier services, and other correspondence.
- Accept and monitor inbound shipments as necessary.
- Provide reception relief support for the frontline receptionist.
- Assist the Building and Administration manager in other duties as assigned.
Qualifications:
- High school diploma, GED, or equivalent education required.
- Five (5) or more years of direct work experience in a receptionist or host capacity is required.
- Superior and professional telephone manners and strong interpersonal skills.
- Strong knowledge of general office procedures and protocols required.
- Able to professionally write correspondence, including e-mails, memos, letters, etc. preferred.
- Proficiency with Microsoft Office Suite (Outlook, Word, Excel, Power Point) required.
- Able to maintain filing systems and basic databases preferred.
- A valid class five (5) driver’s license and personal reliable transportation is required.
- Criminal Records Check to the company’s satisfaction is required.
- Manual dexterity is required to work with computers and peripherals.
