About Us
The Office of the Registrar (OOR) fosters a culture of student service excellence and is a key contributor to the overall student experience at Western, from the initial point of contact with prospects through to graduation and beyond.
Within the OOR, the Undergraduate Admissions Office ensures successful achievement of Western’s undergraduate enrolment goals and strategic plans for growth, internationalization, and diversity by advising and supporting prospective students throughout the application and admission cycle.
Responsibilities
The Program Coordinator will ensure that applicant data is received from the Ontario Universities' Application Centre (OUAC) and uploaded to the PeopleSoft HE system effectively, efficiently, and accurately. The Program Coordinator will provide accurate and timely data to faculties, programs, and ancillary units regarding the status of applicants from the point of application through to the assessment of eligibility, admission, and ultimately confirmation of acceptance process.
Qualifications
Education:
- 3 year university bachelor’s degree in Business Management/Administration with courses taken in Data/Information Management or related field
Experience:
- 4 years experience providing data management and administrative support; preferably in an academic environment
Knowledge, Skills & Abilities:
- Verbal communication skills to clearly express ideas in an objective manner, and adapt communication style to suit the situation and audience
- Demonstrated ability take initiative, to work independently and follow through on work assignments
- Ability to apply active listening to hear and understand the complete message being communicated
- Demonstrated data management and database reporting skills preferably in PeopleSoft Higher
- Familiarity with FIPPA regulations and working knowledge of secure data transfer protocols
- Excellent judgement, analytical and problem-solving skills with a consultative and collaborative approach to addressing issues and opportunities
- Exceptional attention to detail with a demonstrated ability to complete accurate data reports
- Ability and willingness to stay abreast of technological developments
- Results oriented with an ability to handle many tasks and maintain a high level of individual and team performance
- Demonstrated ability to successfully manage multiple competing priorities, set both long- and short-term goals, and to adapt quickly to emerging priorities
- Excellent communication skills, strong client-service orientation, and demonstrated ability to build strong, collegial relationships
- Ability to understand customer needs and expectations and provide excellent customer service
- A strong record of teamwork with the motivation and ability to work independently with minimal supervision
- Ability to learn Western’s Senate Policies pertaining to Admissions
- Knowledge of the Canadian secondary and post-secondary educational system
- Ability to process information with a high degree or accuracy, and follow formal business practices with high attention to detail
- Ability to multi-task, prioritize and maintain an organized and effective personal work environment.
- High proficiency with Microsoft Word, Outlook and advanced skills in Microsoft Excel
- Proven competence with reporting tools such as PeopleSoft HE and PeopleSoft Query
