The Role
- Implementing regional procurement plans based on site and operational needs, ensuring timely sourcing and allocation of resources
- Prepare and submit Requests for Quotation (RFQs), evaluate vendor responses, and assist in the selection process
- Onboard new vendors, draft and execute service agreements, issue and track purchase orders (POs) for supplies and capital expenditures, and ensure all transactions are properly documented in accordance with company procedures
- Coordinate the procurement and delivery of materials and services to job sites, ensuring accuracy, timelines, and adherence to agreed specifications
- Serve as the main liaison between vendors, property sites, and the accounting team to facilitate communication, resolve issues, and ensure alignment across departments
- Maintain and monitor accurate procurement records, including vendor orders, shipment tracking, delivery receipts, and related documentation
- Receive vendor invoices, perform PO vs. delivery verification, and support the three-way matching process before submitting to accounting
- Lead the planning and optimization of the operations schedule, coordinating job timelines, resource deployment, and task sequencing for maximum efficiency
- Compile and share job progress reports, work order summaries, and maintenance schedules with relevant team members and management
- Coordinate travel arrangements for field teams, including transportation and accommodations
- Support contract management by overseeing seasonal service agreements (e.g., snow removal, lawn care) to ensure timely and cost-effective delivery
- Continuously review and refine operational and procurement workflows to drive process improvements and achieve better outcomes
Skills & Experience Required
- Proven experience in procurement, operations coordination, or administrative support, ideally within construction or property management sectors
- Solid understanding of vendor management, regional procurement planning, and RFQ/purchase order workflows
- Demonstrated ability to build and maintain strong vendor relationships
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and familiarity with procurement or scheduling software
- Strong organizational skills and the ability to manage multiple priorities and deadlines
- Excellent communication and interpersonal skills; able to liaise effectively with internal teams and external vendors
- Strong attention to detail with a proactive, problem-solving mindset
- Experience in construction or maintenance operations is considered an asset
