We are seeking a highly organized and proactive Personal Assistant to provide comprehensive support to our team. The ideal candidate will possess exceptional administrative skills and a keen attention to detail. This role requires a versatile individual who can manage various tasks efficiently, ensuring smooth operations within the office environment. The Personal Assistant will play a crucial role in enhancing productivity and facilitating effective communication.
Duties
- Manage calendars and schedule appointments, ensuring optimal time management for executives.
- Coordinate events, meetings, and travel arrangements, demonstrating strong event planning skills.
- Provide executive administrative support, including typing correspondence, proofreading documents, and transcription.
- Maintain organized filing systems and perform data entry tasks to ensure accurate record-keeping.
- Handle phone etiquette with professionalism while managing multi-line phone systems.
- Assist with bookkeeping tasks using QuickBooks and maintain financial records as needed.
- Utilize Microsoft Office and Google Workspace for document creation, presentations, and spreadsheets.
- Support project coordination efforts by tracking progress and deadlines.
- Offer exceptional customer service to clients and visitors at the front desk.
- Collaborate with team members to streamline office management processes.
Requirements
- Proven experience as a Personal Assistant or in an administrative role with clerical experience.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Familiarity with calendar management tools such as Microsoft Outlook Calendar.
- Excellent typing skills with attention to detail for accurate data entry and documentation.
- Strong communication skills, both written and verbal, with effective phone etiquette.
- Ability to work independently as well as part of a team in a fast-paced environment.
- Experience with DocuSign for document management is a plus.
- A background in office management or project coordination is preferred.
