POSITION SUMMARY
Reporting to the Senior Manager, People and Culture, the Associate Recruitment & Onboarding is responsible for organizing the recruitment and selection function, coordinating the onboarding and orientation program and participation in various agency committees, and special project work as assigned. This position ensures that recruitment and onboarding practices align with organizational goals, diversity, equity, and inclusion (DEI) principles, and regulatory requirements. The Associate will support hiring managers, coordinate recruitment strategies, and create a seamless and engaging onboarding experience for new employees.
PRINCIPLE RESPONSIBILITIES
- Provides full cycle recruitment for all areas of the agency.
- Working with ongoing staffing requirements and hiring priorities. Including job postings, resume coordination, pre-screening, setting up interviews, reference checks, and extend offers to candidates
- In partnership with the HR Consultants, ensure all recruitment material used is up to date as per legislative and agency requirements
- Works closely with external staffing agencies for short-term vacancies
- Maintain vacancy report in order to monitor leaves and vacancies at the Agency and provide reports to internal stakeholders
- Conduct Career Fairs to source candidates
- Facilitates, updates and maintains the new staff orientation program once a month and coordinates the annual schedule with all branches
- Prepares and updates all on-boarding material for staff
- Prepares reports and statistical records related to recruitment and new staff orientation
- Provides back up to the HR Associates, when required and during periods of absence
- Facilitate connections between new employees and key stakeholders to promote engagement and retention
- Partner with IT and other departments to ensure smooth onboarding experiences
- Contribute to organization’s branding efforts by promoting the mission, values, and culture
- Maintain partnerships with educational institutions, professional associations, and community groups to enhance recruitment efforts
- Provide support for other HR functions as needed
- Required to work independently and manage multiple priorities within demanding time frames.
- Attention to detail is a must, as is adherence to confidentiality.
- Strong relationship-building skills
- Knowledge and understanding of Human Resources administrative processes
- Strong computer skills are required, with advanced working knowledge of Microsoft Office and experience working with human resources information systems (e.g. Ceridian Dayforce)
- Strong understanding of applicable legislation governing the employment relationship is also essential
- Excellent communication skills, both verbal and written
- Strong organizational and problem-solving skills
Education: Bachelor of Arts degree in a related field and a certificate in human resources management (CHRM).
Experience: 2-3 years’ experience in a similar role is required. Proficiency in the French language is also considered an asset.
